Offer Resend

Offer Resend automatically sends an offer once more if the guest has not opened it yet. The scheduled and sent resends are under Autopilot › Offer Resend. In some hotels the “Autopilot” menu shows the item “Auto Messages” instead of “Offer Resend”. There the resend is on the “Resend offer” card, with the tabs “Messages”, “Report” and “Settings”.

Example: Send an unread offer once more after one day

  1. Under Autopilot › Offer Resend, the “Offer Resend” list opens with the scheduled and sent resends.

  2. Under Settings › Messaging Automation, in the “Offers” box, enter the hours in the field “Resend unread offers after”, for example 24, and save the settings.

  3. Send an offer to a guest. If the offer’s e-mail has been delivered and the offer is unread, ReGuest schedules a resend for the time of sending plus 24 hours.

  4. If the guest opens the offer before this time, ReGuest deletes the resend again. Otherwise ReGuest sends the offer e-mail once more at the scheduled time.

The guest’s resend is then in the “Offer Resend” list.

The pages in detail

“Offer Resend” list

The list shows the scheduled and sent resends with the columns “Send automatically”, “Guest”, “Offer created” and “Arrival date”. A resend has a status, for example “ready”, “paused” or “sent”.

“Send now” sends a resend immediately, without waiting for the scheduled time. This only works for a resend with the status “ready” or “paused”.

“Offer resend for …” page

The page shows a single resend: when it goes out, under “Will be sent on” and “Time”, and its “Status”.

  • “Set on pause” pauses a resend.

  • “Restart” continues a paused resend.

  • “Send now” sends it immediately.

All three only work for a resend with the status “ready” or “paused”.

Setting under Settings › Messaging Automation

In the “Offers” box, the field “Resend unread offers after” sets how many “hours” after an unread offer was sent the resend goes out. By default, the field is set to 24 hours.

The value 0 prevents new resends from being scheduled; resends already scheduled still go out.

In the offer

In the view of an offer, “Schedule offer resend” in the “Automation” box schedules a resend by hand. The button appears as long as the offer is being negotiated or its delivery has failed. It is missing as soon as the offer already has a resend, even one that has already been sent.

Prerequisites

  • ‘Offer Resend’ belongs to the Offers licence module.

  • If the module is licensed, access to it is enabled for specific users through their role. The following need their own access in the role: saving the field “Resend unread offers after”. Roles are managed by ReGuest support.

Frequently asked questions

What does the guest receive with the resend? The same offer e-mail once more.

How often is an offer resent? At most once per offer.

Why did the resend never reach the guest? Usually the guest has opened the offer in the meantime, and ReGuest has deleted the resend. The same happens if the offer is booked, declined or deleted, or if a new offer goes out in the same request.

Why is no resend scheduled? If the field “Resend unread offers after” contains 0, ReGuest schedules no resend. The hotel enters the hours there under Settings › Messaging Automation in the “Offers” box. In addition, a resend is only scheduled if the offer’s e-mail has been delivered and the guest has not opened the offer yet. By hand, “Schedule offer resend” in the offer’s “Automation” box schedules a resend.

Do resends still go out when the field is set to 0? Yes, the ones already scheduled. The value 0 only prevents new ones. A single scheduled resend can be paused on its page with “Set on pause”.

Why is “Schedule offer resend” missing in the offer? The offer already has a resend, even one that has already been sent. Or the offer is no longer being negotiated, and its delivery has not failed either. A scheduled resend with the status “ready” or “paused” can be sent immediately in the “Offer Resend” list with “Send now”.

Why is the “Offer Resend” menu item missing? It only appears if the Offers licence module is active and the user’s role includes access. Roles are managed by ReGuest support, which can also tell you whether Offer Resend is set up for the hotel.
