A season is a named series of periods, for example “Summer” over several years. The price definitions of the rate plans apply per season, an offer takes the offer template of the season in which the arrival falls, and additional services, content blocks and wish list groups can be limited to seasons. The menu path is Settings › Seasons and Periods.
Example: Create the summer season for several years
Open the list. Settings › Seasons and Periods shows the list “Manage seasons”.
Start a new season. “Add” opens the page “New season”.
Enter the name. In “Internal name”, enter the name of the season, for example “Summer”.
Choose the mapping. Under “Mapping”, select “Summer”. In their sample profiles, the automatic campaigns then assign guests whose last stay falls in this season to summer.
Switch on the annual renewal. Switch on “Automatically renew period every year”.
Create the season. “Create” creates the season and opens the page “Modify season”. Only here can periods be added.
Enter the period. Under “Insert for all years from/to”, choose the years for which the period is to apply, and under “from / to” the start and end of summer. “Add period” creates the same period for each of the chosen years.
Result. The season is in the list “Manage seasons”, with its periods in the column “Periods”.
The pages in detail
Manage seasons
The list shows all seasons of the hotel with “Internal name” and “Periods”. At the top is the season whose earliest period begins latest. The current period is highlighted, past periods are pale. “Add” opens the page “New season”.
New season and Modify season
On this page the hotel creates a season or changes it. “Internal name” is the name of the season.
The “Mapping” marks the season as “Spring”, “Summer”, “Autumn” or “Winter”, or with “not assigned” as none of these. It takes effect in the automatic campaigns in the selection “Sample profile”: if a guest's last stay falls in a season whose “Mapping” is “Spring”, “Summer”, “Autumn” or “Winter”, ReGuest assigns the guest to the sample profiles of this time of year. Otherwise ReGuest assigns them to the time of year of their arrival month. The name of such a sample profile names the time of year.
Under “from / to” are the start and end of a period, and “Add period” adds it to the season. On the page “New season”, “Add period” is greyed out until “Create” has created the season. Periods are therefore only added on the page “Modify season”. “Add period” rejects a period of one year or longer. A period that ends on the same day on which it begins is rejected when saving.
“Automatically renew period every year” works in two ways. With the switch on, “Add period” creates the same period for each year of the span “Insert for all years from/to”. In addition, for a season with the switch on, ReGuest once a day creates, for every period of the current year that has already begun, the same period in the next year. If any season with the switch on already has the same period in the next year, ReGuest does not create it again.
Anyone who changes a period in the past sees the note “Attention: If you change periods in the past, this can affect the results of selections.”
“Create” creates the new season and opens the page “Modify season”. There, “Save” applies the changes to “Internal name”, “Mapping” and “Automatically renew period every year”. A changed period is saved with the “Save” next to this period. “Delete” is available only as long as no offer template and no wish list group is assigned to the season. After deletion, price definitions, selections and building blocks lose this season.
Rates
The section shows the price definitions that apply to this season, with “Rate plan”, “Facility/Hotel”, “Room category”, “Adult Prices” and “Children Prices”. A price definition that applies to every room category carries the note “Valid for all room categories”. A price definition is created under Settings › Rate Plans & Cancellation Policies in the tab “Price definitions” of a rate plan, with “New price definition”.
Assignments
A saved season can be assigned to offer templates and wish list groups, in the fields “Associated to the following proposal templates” and “Associated to the following wish list groups”.
Prerequisites
‘Seasons and Periods’ belongs to the licence module Offers.
If the module is licensed, access to it is enabled for specific users through their role. The roles are managed by ReGuest support.
Frequently asked questions
Which prices apply to a stay? The price definitions without a season and those of a season whose period covers the stay apply to a stay. Per rate plan, season and room category there is at most one price definition.
Why can a season not be deleted? An offer template or a wish list group is assigned to the season. “Delete” appears only when “Associated to the following proposal templates” and “Associated to the following wish list groups” are empty.
Does the period have to be entered again every year? No, if “Automatically renew period every year” is switched on.
Why does a note appear when an old period is changed? A changed period in the past can change the results of selections.
Why does a colleague not see the menu item “Seasons and Periods”? Their role does not enable this menu item. The roles are managed by ReGuest support.
Why is the menu item “Seasons and Periods” missing entirely? The menu item belongs to the licence module Offers. With a part of the licence module Upseller, it also appears without Offers. ReGuest support can tell you whether one of these is set up for the hotel.
