A room category describes a type of room that the hotel offers, with code, name, description and images. Offers, price calculation, guest area and Messenger draw on this information. The menu path is Settings › Room categories.
Example: Import room categories from the hotel software
Open the list. Settings › Room categories shows the list “Room categories”.
Start the import. “Import room categories” fetches the categories from a connected hotel software or booking system.
Choose the provider. Choose the connected hotel software or booking system that the categories come from. If a leading inventory system is set for the hotel, only this one can be chosen.
Result. The import creates each category with its name and writes a description per hotel language. It imports the images into media galleries in the tab “Additional information”, with “Photos” and with “Room plan”. Afterwards it reports how many categories it has imported, and the categories are in the list “Room categories”.
The pages in detail
Room categories
The list shows the hotel's room categories with “Name”, “Room type”, “Area” and “Code”. Seminar rooms are not in it. “Filter by name or code...” narrows the list down. With Multi-Property, after a building or hotel is chosen, the list shows only its categories; “All facilities/hotels” shows the categories of all buildings and hotels. “Add” opens the page “New room category”.
A room category is never deleted, only archived. “Archive” hides it from the list, “show archived” shows it again, with the note “Archived”, and “Reactivate” makes it active again. A category whose building is archived is hidden as well and carries the note “Facility/Hotel archived”.
“Move up” and “Move down” change the order of the categories immediately. In “Edit mode”, you can change the codes directly in the list, including the category's own codes per interface.
“Import room categories” starts the import as in the example above. “Export room categories” downloads the categories of a provider as an Excel file with code and name per language.
New room category and tab “Description”
On the page “New room category”, “Create” saves the new category. The button is only active when all entries are valid. Then the tab “Description” of the new category opens.
With Multi-Property, “Facility/Hotel” assigns the category to a building or hotel, and the field is mandatory. The “Code (PMS/IBE)” is mandatory and must be unique: the form compares it with all categories of the same building, archived ones included. “Name” and “Description” are mandatory per hotel language. “Name” and “Description” in a language the hotel no longer uses are read-only.
“Room type” assigns the category to a type of room, for example “Double room”, “Family room” or “Suite”. Campaigns and automatic campaigns filter by this type of room in the recipient condition “Room category”. For “Apartment”, “Chalet”, “Penthouse”, “Lodge”, “Rental accommodation”, “Pitch” and “Villa”, the offer in the guest area carries the heading “Category” instead of “Room category”.
The “Area” appears in the offer in brackets with its unit, for example “m²”, after the room name the guest sees. The “Number of rooms” is the number of available rooms of this category when ReGuest calculates the price from its own prices, and for some price interfaces. An empty field or 0 counts as not set.
“Hide in request forms” hides the category in the request, selection and wait list forms of the guest area and in the Messenger. “Duplicate” copies the category with prices, descriptions and galleries and appends “ (Copy)” to the code. “Archive” and “Reactivate” work as in the list.
Prices and occupancy
This tab exists only if it is set up for the hotel. Here the hotel sets the “Min. occupancy” and “Max. occupancy” of the category and its price. “Price type” determines how the price applies, for example “per person and night” or “per room and night”. For a price per person, the hotel enters “Price per adult” and “Child base price”; for a price per room, a “Base price”.
Rates
The tab shows the price definitions of the category per “Season” and “Rate plan”, with “Adult Prices” and “Children Prices”. A price definition without a season carries the note “Valid for all seasons”. New price definitions are not created here, but under Settings › Rate Plans & Cancellation Policies in the tab “Price definitions” of a rate plan, with “New price definition”.
Edit price definition
The window shows a price definition with “Season”, “Room category”, “Room price (adult occupancy)” and “Room price (child occupancy)”. “Save” applies the change, “Delete” removes the price definition.
Additional information
Per language, a category has up to four entries here: media galleries with “Photos”, “Room plan”, “Panorama/360° view” or “Video” from the media database, and HTML blocks. The guest area shows the media galleries and HTML blocks in the offer with the room category. “New media gallery” creates a gallery, “New HTML block” an HTML block. “Insert default media galleries” creates the two galleries “Room Pictures” and “Floor Plan” at once, as long as there are no entries yet. Once four entries are reached, the tab shows “The maximum number of entries has been reached.”
Edit entry
In the window of an entry, “Contains” sets what a gallery shows: “Photos”, “Room plan”, “Panorama/360° view” or “Video”. The “Language” sets which hotel language the entry belongs to: in the offer, the guest sees only the entries in the language of the offer. “Save” applies the entry, “Delete” removes it.
Prerequisites
‘Room categories’ does not need a licence module of its own. With Offers, the tab “Rates” is added. With Multi-Property, the field “Facility/Hotel” and the filter “All facilities/hotels” are added.
Access to ‘Room categories’ is enabled for specific users through their role. Saving in the window “Edit price definition” needs its own access in the role. The roles are managed by ReGuest support.
