Reservation Requirements

A mandatory fields block sets which mandatory fields and options the booking form in the guest area shows, whether an offer requires a deposit and whether ReGuest suggests the follow-up. Every offer gets one block. The menu path is Settings › Reservation Requirements.

Example: Create a block for bookings with a deposit

  1. Open the list. Settings › Reservation Requirements shows the list “Manage mandatory fields for reservations”.

  2. Start a new block. “Add” opens the page “New mandatory fields block”. Fill in the field “Label”; as long as it is empty, “Create” stays disabled.

  3. Switch on mandatory fields. In the section “Mandatory fields”, switch on “Address is mandatory” and “Phone number is mandatory”. The booking form then requires this information from the guest.

  4. Require a deposit. Switch on Setzt "Angeld erforderlich", and under “Default selection for deposit” select “Bank transfer and/or credit card”.

  5. Create the block. “Create” saves the block and then opens the page “Edit mandatory fields block” of the new block.

  6. Choose the block for an offer. When sending an offer, choose the block under “Reservation requirements”.

  7. Result. The list “Manage mandatory fields for reservations” shows the new block with the labels of its active options. If the guest books through the offer, the booking form requires address and phone number and reports missing information at the field. If a new booking request comes in for this offer, the input for the deposit request appears straight away, and “Bank transfer and/or credit card” is preselected.

The pages in detail

Manage mandatory fields for reservations

The list shows the hotel's blocks, for each block the labels of its active options. “Add” opens the page “New mandatory fields block”. A new hotel starts with a block “Default”. A block can be neither deleted nor archived.

New mandatory fields block and Edit mandatory fields block

On this page, the hotel creates a block or changes it. The switches are in the sections “Mandatory fields”, “Deposit”, “Follow up” and “Further fields and options”. The field “Label” is mandatory: as long as it is empty, “Create” stays disabled. “Create” saves a new block and then opens its page “Edit mandatory fields block”.

“Mandatory fields”. “Name is mandatory”, “gender is mandatory”, “Birth year/age is mandatory”, “Date of birth is mandatory”, “Place of birth is mandatory”, “Address is mandatory”, “Phone number is mandatory” and “Mobile phone number is mandatory” make the respective information a mandatory field. The booking form checks every mandatory field of the block and reports missing information at the field.

Optional fields. “Show address fields as optional” shows the fields “Street”, “Postal code”, “City” and “Country” in the booking form as optional information: the guest can leave them all empty, but must fill them in completely as soon as they enter one of them. “Show phone number as an optional field” shows the field “Phone number”, which the guest can leave empty.

Confirm the price. If “Guest must explicitly confirm option number and total price of the offer” is set and the offer has a fixed price, the booking form shows a checkbox “I agree to the booking at the total price of …”. With several variants, the checkbox also names the offer variant. Without the tick, ReGuest does not accept the booking.

Deposit. Setzt "Angeld erforderlich" marks an offer on sending as “Deposit required for booking”. If a new booking request then comes in for this offer, the input for the deposit request appears straight away. The guest's booking form does not change because of this. The “Default selection for deposit” sets the type of deposit. If Setzt "Angeld erforderlich" is set, the selected type goes into the offer on sending and is preselected when the hotel creates the deposit request.

Credit card. If “Credit card data as security” is set, the booking form shows the section “Credit card” with the fields “Credit card number”, “Card holder” and “Expiry date”. The guest must fill them in validly before ReGuest accepts the booking. If “Ask for credit card details only on direct booking” is set, the booking form asks for the credit card details only on direct booking.

Direct booking. If “Allow direct booking” is set and the room is available, the button in the booking form is called “Confirm Reservation”. After submitting, ReGuest automatically creates a deposit request with the default deposit text and sets the booking to “Deposit/CC outstanding”. If the deposit option provides for no deposit, the booking remains a booking request. The switch can only be set once every active guest language has a default deposit text. ReGuest support can tell you whether direct booking is set up for the hotel.

Follow up. If “Don't suggest follow up” is set, ReGuest suggests no follow-up for offers with this block.

Travel cancellation insurance. If “Show text and option for a travel cancellation insurance” is set, the booking form shows the text on travel cancellation insurance and below it an optional checkbox. Its label comes from the system snippet “Checkbox text for travel cancellation insurance in the booking form”; if this is empty, the booking form shows neither the text nor the checkbox.

Save. Four pairs exclude each other: if both are switched on in a pair, the block cannot be saved. The pairs are “Birth year/age is mandatory” and “Date of birth is mandatory”, “Address is mandatory” and “Show address fields as optional”, “Phone number is mandatory” and “Show phone number as an optional field”, Setzt "Angeld erforderlich" and “Credit card data as security”.

Frequently asked questions

Which block applies to an offer? An offer template can preselect a block. When sending an offer, the block can be chosen under “Reservation requirements”. Automatically created offers take over the block in the same way.

Why can a block not be saved? Two switches exclude each other, for example “Birth year/age is mandatory” and “Date of birth is mandatory”, or Setzt "Angeld erforderlich" and “Credit card data as security”. If both are switched on in one of these pairs, saving rejects the block.

Why can “Allow direct booking” not be clicked? A default deposit text is missing for at least one active guest language. ReGuest support can tell you where it is created.

Why can “Show text and option for a travel cancellation insurance” not be switched on? The system snippet “Checkbox text for travel cancellation insurance in the booking form” is not filled in in all active guest languages. It is added under Settings › Content snippets in the area “System”.

Can a block be deleted? No. A block can be neither deleted nor archived.

Why does a colleague not see the menu item “Reservation Requirements”? Their role does not enable this menu item. Roles are managed by ReGuest support.

Why is the menu item “Reservation Requirements” missing entirely? The menu item is part of the licence module Offers. ReGuest support can tell you whether it is set up for the hotel.
