Guest List

The Guest List is a table of the hotel's guests, with one row per guest. Columns and filters can be put together and saved as a view, which appears as a tab of its own above the table. The Guest List is located under CRM › Guest List.

Example: Create a view for regular guests

  1. Open the Guest List. Under CRM › Guest List, the table opens with the “All guests” tab.

  2. Create a view. “Add view” opens the dialog with the heading “Create your individual guest list”.

  3. Choose a template. The “Regular Guests” template comes with a filter. Its name then appears as a suggestion in the “Title” field.

  4. Set the visibility. Under “Visibility”, select “For all users (only I can modify it)”. This lets colleagues add the view too; only the person who created it can change it.

  5. Save. After “Save”, the view appears as the “Regular Guests” tab next to “All guests”.

  6. View the result. The “Regular Guests” tab shows the guests who are marked as regular guests. A click on a row opens this guest's data and transactions next to it.

The pages in detail

Page “Guest List”

The page first shows the “All guests” tab, followed by one tab per view, with the view's name. Above the table there are four quick filters: “Guest journey phase”, “Creation date”, “Last activity date” and “Preferred channel”. The “Guest journey phase” has six values: “Recent interest”, “Offer”, “Pre stay”, “On stay”, “Post stay” and “Past interest”. “Pre stay” shows guests with an upcoming stay, “On stay” guests with a current stay and “Post stay” guests with a departure in the last 14 days. “Offer” shows guests with an open offer with arrival in the future. If none of this applies, “Recent interest” shows the guests whose last action or whose last message from the hotel was no more than 30 days ago, and “Past interest” all other guests. “Creation date” filters by the day on which the guest was created. “Last activity date” filters by the guest's own last action, for example an action in the guest portal, a reply by email or a new request; marketing mailings to the guest do not count. Under “Preferred channel”, you can choose “E-Mail” and “WhatsApp”.

The “Search by name or email address...” field finds a guest by their name or their email address. By default, a page shows 50 rows; 25 or 100 can be selected. Without any customisation of your own, the table shows the columns “Name”, “Guest journey phase”, “Reservation count”, “Total revenue”, “Preferred channel”, “Last activity date” and “Creation Date”. A guest with the status “Blacklist” has a black dot.

“Export” creates an Excel file with all results of the current filters, in the current sort order. “Create campaign” opens a new campaign that uses the view as its recipient list.

Dialog “Add view” / “Edit view”

The dialog creates a new view. You can choose the “Blank Template” without a filter and templates that each come with a filter, including:

  • “Regular Guests” shows guests who are marked as regular guests; this happens from a set number of confirmed reservations.

  • “Currently online” shows guests who are online right now.

  • “Recent Interest”, “Pre Stay”, “On Property” and “Post Stay” show guests in the guest journey phase “Recent interest”, “Pre stay”, “On stay” and “Post stay”.

The “Title” field gives the view its name. Under “Visibility”, you can choose “Only for me” and “For all users (only I can modify it)”.

The same dialog is called “Edit view” when an existing view is changed. Only the owner of the view may rename it, save it and “Delete” it. If a campaign uses the view as its recipient list, the view cannot be deleted, and its “Visibility” is locked.

Hiding a view

The cross on a tab hides the view. The view is kept and comes back via the “Existing views” tab.

Tab “Existing views”

In the “Add view” dialog, the “Existing views” tab brings back a view that was hidden or that a colleague has made visible to all. The “Search views...” field and the “All owners” filter narrow down the selection; sorting is by “Newest first” or “Alphabetically”. The list shows “View name”, “Filters” and “Owner” for each view.

Sidebar “Advanced filters”

“Advanced filters” opens a sidebar for conditions that go beyond the quick filters. “Add condition” adds a condition, for example on “Country”, “Language”, “Booking Count”, “Regular guest”, “Birthdate” or “Stay date”. A date can be given as a “Relative date”. This is a period calculated from today, for example “Today”, “Last 7 days” or “Next year”. With the “Absolute” switch, a fixed date with a comparison such as “is greater than” or “is between” is available instead.

Dialog “Customize columns”

The dialog determines which columns a view shows. It has two lists, “Available” and “Selected”. The dialog exists only on a view of your own, not on “All guests”.

Sidebar of a guest

A click on a row opens the guest's data and their transactions next to the table, each as “Request”, “Offer” or “Reservation”. In addition, “Last activity date” and “Created on” are shown. “Message” and “Note” lead to the guest archive, “Request” to a new request and “Open guest profile” to the guest's profile.

Prerequisites

  • ‘Guest List’ does not need a licence module of its own. With Offers, the “Offer” phase in the “Guest journey phase” quick filter is added. With Channels › WhatsApp™ Integration, the column, the quick filter and two filters for the WhatsApp channel are added. With Sales Campaigns, “Create campaign” is added.

  • Access to ‘Guest List’ is enabled for specific users through their role. The following need their own access in the role: “Export” and “Create campaign”. Roles are managed by ReGuest support.

Frequently asked questions

Why can't colleagues see a view? Under “Visibility”, the view is set to “Only for me”. With “For all users (only I can modify it)”, colleagues can add it via the “Existing views” tab.

Why can't a view be deleted? A campaign uses it as its recipient list, or it belongs to another user. It can be hidden via the cross on the tab.

Why can't “Create campaign” be clicked? The view is not visible to all, has unsaved filters or no result. It never works with “All guests”. It works with a view whose “Visibility” is set to “For all users (only I can modify it)”, whose filters are saved and which shows at least one result.

How does a hidden view come back? In the “Add view” dialog, open the “Existing views” tab and add the hidden view again there.

Why is the Guest List missing from the menu? Access to it is not enabled in the user's role. Roles are managed by ReGuest support, which can also tell you whether the Guest List is set up for the hotel.
