The “List of all deals” is a table of all the hotel's sales processes. A deal is a correspondence with a guest together with its request, offer or reservation. The list is located under CRM › List of all deals.
What it is good for: your own views save columns and filters. This turns a recurring search, for example for offers that will soon be due, into a table that is back with one click. With “For all users (only I can modify it)”, colleagues can also add these views for themselves via the “Existing views” tab.
Example: Create a shared view of offers due soon
Under CRM › List of all deals, the “List of all deals” page opens with the “All deals” tab.
“Add view” opens the dialog with the heading “Create your individual deals list”.
Select the “Due soon” template. It shows sent offers that will be due in the next 7 days. Its name then appears as a suggestion in the “Title” field.
Under “Visibility”, select the value “For all users (only I can modify it)”. This lets colleagues add the view via the “Existing views” tab too, but only the person who created it can change it.
Select “Save”. The view then appears as a tab of its own with its name next to “All deals”.
Afterwards the hotel has a tab of its own with the sent offers that will be due in the next 7 days. Colleagues add the shared view for themselves via the “Existing views” tab in the “Add view” dialog.
The pages in detail
Page “List of all deals”
The page shows the deals as a table. The built-in “All deals” tab comes first; next to it there is one tab per view, with the view's name.
The default columns are “Name”, “Offer number”, “Deal status”, “Responsible user”, “Offer due date”, “Arrival date”, “Total price” and “Communication start date”. The “Deal status” follows from the state of the correspondence. It has seven values: “Unanswered request”, “Archived without proposal”, “Sent proposal”, “Lost proposal”, “Provisional reservation”, “Confirmed booking” and “Cancelled reservation”.
Quick filters narrow down the deals: “Responsible user”, “Deal status”, “Offer due date”, “Arrival date” and “Communication start date”. In the “Deal status” quick filter, several statuses can be combined. The “Search by name or email address...” field finds deals by the guest's name or email address. By default, the table shows 50 rows per page.
Above the table there are also metrics: “Total Amount”, “Open requests”, “Open deals”, “Reservations”, “Ø Deal age”, “Ø lead in” and “Average per deal”. “Ø Deal age” counts the days since the last offer, “Ø lead in” the days between reservation and arrival. “Hide metrics” hides the metrics, “Show metrics” shows them again. The metrics exist only in this list, not in the guest list.
Further buttons on the page:
“Export” creates an Excel file with all results of the current filters and sorting.
“Create campaign” opens a new campaign that uses the view as its recipient list. This works only with a view that is not built in, is visible to all, has no unsaved filters and shows at least one result. A colleague's view also works for this.
“Customize columns” exists only on your own views, not on the built-in “All deals” tab.
With the “List view” and “Board view” switches, the page switches between table and cards.
“Board view”
The “Board view” exists only in this list. It shows one column per deal status: “Unanswered request”, “Sent proposal”, “Provisional reservation”, “Confirmed booking”, “Archived without proposal”, “Lost proposal” and “Cancelled reservation”. Each card shows fixed fields, independent of the view's columns, for example “worth”, “Requested on”, “expires on”, “reserved on” or “cancelled on”. In the “Unanswered request” column, the “current only” switch hides the requests whose arrival is before today.
Dialog “Add view” / “Edit view”
The dialog creates a new view or changes an existing one. The dialog offers templates to choose from. “My Deals” shows the deals of the user who creates the view. “Last-Minute requests” shows deals with the “Deal status” “Unanswered request” and an “Arrival date” in the “Next 7 days”. “Real-Time Opportunity” shows deals with the “Deal status” “Sent proposal” whose guest is online right now. “Upcoming arrivals” shows deals with the “Deal status” “Confirmed booking” and an “Arrival date” in the “Next 7 days”. “Due soon” is the template from the example above.
The “Visibility” is “Only for me” or “For all users (only I can modify it)”. Only the owner of the view may rename it, save it and remove it with “Delete”.
Tab “Existing views”
Via the “Existing views” tab in the “Add view” dialog, you can add back views that were hidden via the cross on the tab with “Hide”, and views shared by colleagues. The “Search views...” field and the “All owners” filter narrow down the selection; sorting is by “Newest first” or “Alphabetically”. The list shows “View name”, “Filters” and “Owner”.
Sidebar “Advanced filters”
“Advanced filters” opens a sidebar in which you can put together conditions for the table. “Add condition” adds a condition, “Apply filter” applies the conditions to the table. There are 41 filters to choose from, for example “Departure date”, “Nights”, “Number of adults”, “Number of children”, “Total price”, “Reservation date”, “Request date”, “Meal plan”, “Season”, “Rate plan”, “Room category”, “Request source” and “Advertising channel”.
Dialog “Customize columns”
“Customize columns” determines which columns your own view shows. The dialog has the lists “Available” and “Selected”. With “Add” and “Remove”, a column moves between the lists. “Set as default sort column” determines the column by which the table is sorted, with “Sort Ascending” or “Sort Descending”. “Save columns” applies the selection. There are 48 columns to choose from, for example “Departure date”, “Reservation date”, “Room category”, “Nights” and “Phone number”.
Sidebar of a deal
A click on a row opens the deal's sidebar next to it. It shows status, period, occupancy and amount, with the details “Arrival”, “Proposal due on”, “Reserved on” and “Amount”. The timeline has the sections “Request”, “Offer”, “Reservation”, “Post Stay Review”, “Wishlist” and “Online Check-In”.
From there, buttons lead further, for example “View associated request”, “View associated offer” and “View associated reservation”. “Open deal” opens the correspondence in a new tab.
Prerequisites
‘List of all deals’ belongs to the Offers licence module. With Sales Campaigns, “Create campaign” is added. With Multi-Property, the “Hotel/facility” filter is added. With MICE, the “MICE offer” filter is added.
If the module is licensed, access to it is enabled for specific users through their role. The following need their own access in the role: “Export” and “Create campaign”. Roles are managed by ReGuest support.
Frequently asked questions
Why is the “List of all deals” menu item missing? The list appears only if the Offers licence module is active and the user's role includes access to it. Roles are managed by ReGuest support, which can also tell you whether the list is set up for the hotel.
Why can't colleagues see a view? Its “Visibility” is set to “Only for me”. With “For all users (only I can modify it)”, colleagues add it for themselves via the “Existing views” tab.
Why can't a view be deleted? It belongs to another user, or a campaign uses it as its recipient list. If a campaign uses the view as its recipient list, its “Visibility” is locked as well.
Why can't the filters of a view be changed any more? A campaign uses it as its recipient list and is ready to send. This also applies during sending, during a pause and afterwards. For other filters, “Add view” creates a new view.
Why is “Create campaign” greyed out? The view is built in, for example “All deals”, is not visible to all, has unsaved filters or shows no result. It works with a view whose “Visibility” is set to “For all users (only I can modify it)”, whose filters are saved and which shows at least one result.
Why is “Customize columns” missing? The button exists only on your own views, not on the “All deals” tab and not on a colleague's view. For your own columns, “Add view” creates a view of your own.
Why does the “Board view” show different details than the table? The cards have fixed fields. The view's columns apply only to the “List view”.
