Overview (table)

The overview shows the reservations of a period as a table that can be filtered, sorted and printed. The hotel needs it when it wants to compile reservations by arrival, departure or due date of the deposit, or wants a list on paper. The menu path is Reservations › Overview.

Example: Print the arrivals of the coming week

Reception wants a printed list of the confirmed reservations whose guests arrive in the coming week, with deposit and due date.

  1. Open the overview. Under Reservations › Overview, the table opens. At first it shows the reservations whose reservation date lies between 14 days ago and today.

  2. Relate the period to the arrival. In the “Period refers to” selection, choose “Arrival date”.

  3. Choose the period. The input field next to the selection opens a calendar. There, choose the first and the last day of the coming week. The table reloads at once and shows the reservations with arrival in this week.

  4. Show only confirmed reservations. In the “Status” filter, choose “Only confirmed”. The table now shows only reservations with the status “confirmed”.

  5. Switch on “Deposit info”. The “Deposit info” switch shows the “Deposit” and “Due date” columns.

  6. Sort by arrival. In the “Sort” selection, choose “Arrival date”.

  7. Print. The printer icon with the tooltip “Print” prints the table.

  8. Result. The printout with the title “Reservations Overview” lists the confirmed reservations with arrival in the coming week, sorted by arrival date, with the columns “Deposit” and “Due date”.

Overview

Filters.

  • “Period refers to” sets which date the period refers to: “Reservation”, “Arrival date”, “Departure date” or “Deposit due date”. The default is “Reservation”.

  • The input field next to it holds the start and end of the period. It opens a calendar and shows the period as “DD.MM.YYYY - DD.MM.YYYY”. The default is 14 days ago up to and including today. After a change, the table reloads at once; there is no button to apply it.

  • “Status”: “All” also shows unconfirmed, annulled and canceled reservations. “Only confirmed” shows only reservations with the status “confirmed”.

  • “Facility/Hotel”, with Multi-Property: if a building is selected, the table shows only the reservations of this building. With “all”, it shows the reservations of all buildings.

Table. For each reservation, the table shows the columns “Res. on”, “Guest”, “Room”, “Arrival”, “Departure”, “Nights”, the icons with the tooltips “Adults” and “Children”, and “Total pr.”. With Multi-Property, the “Facility/Hotel” column is added. The “Deposit info” switch additionally shows the columns “Deposit” and “Due date”.

Sort. The “Sort” selection orders the table by “Reservation”, “Arrival date”, “Departure date”, “Guest name” or “Dep. amount”. The column headers do not sort.

Onward from a row. Clicking the status icon in the first column or the date in the “Res. on” column opens the reservation detail of the reservation. Clicking the name in the “Guest” column opens the guest record of this guest. The icon with the tooltip “Go to conversation” opens the conversation the reservation belongs to.

Print. The printer icon with the tooltip “Print” prints the table as it is currently filtered and sorted, under the title “Reservations Overview”.

When you leave the page, the filters reset to their defaults. The exception is switching to a conversation. The sorting stays in every case.
