Categories

With the “Categories” switch, the Outlook add-in sets the Outlook category “Request” on an email in Microsoft Outlook when a request in ReGuest was created from it, and “Message” when it was transferred to ReGuest as a message. The switch is in the “Categories” box on the add-in's “Settings” page, reached via Outlook ribbon › “Re:Guest Outlook Add-in” › “Re:Guest” › header bar › “Settings”.

Example: Recognise transferred emails in Outlook by their category

A receptionist transfers guest emails from Outlook to ReGuest. Afterwards, the transferred emails in the Outlook inbox should carry the category “Message”.

  1. Open the email. Open the guest's email in Outlook.

  2. Open the add-in. The “Re:Guest” button in the “Re:Guest Outlook Add-in” group of the ribbon opens the add-in's task pane.

  3. Open the settings. A click on the name of the signed-in staff member in the header bar opens the menu, and “Settings” opens the “Settings” page.

  4. Check the switch. The “Categories” box holds the “Categories” switch. It is on by default. If it is off, a click turns it on; the change is saved immediately and applies immediately. There is no separate save button.

  5. Back to the email. “Close” leads back to the task pane.

  6. Transfer the email. “Transfer message” in the task pane transfers the open email to ReGuest as a message.

  7. Result. Right after the transfer, the email in Outlook carries the category “Message”. If this category did not exist in the mailbox yet, the add-in has created it.

The pages in detail

Box “Categories”

The “Categories” box is on the add-in's “Settings” page. It carries the description “Create and assign categories to email items in Outlook” and the “Categories” switch.

What the switch does. If “Categories” is on, the add-in sets the Outlook category “Request” on an email when a request was created from it, and “Message” when it was transferred as a message. This happens right after a successful “Transfer request” or “Transfer message”. An email that has already been transferred as a request or as a message also gets its category when it is opened or selected again later. If the category is missing in the mailbox, the add-in creates it. If the switch is off, the add-in sets no category.

Saving. A change to the switch is saved immediately and applies immediately. The setting applies to the Microsoft account.

Back and reset. When reading an email, “Close” leads back to the task pane, and when writing an email, back to the compose pane. “Reset to factory settings” on the same page turns “Categories” back on after a confirmation prompt. But it also removes all remembered sign-ins, the “Re:Guest instance codes” and the choice under “Remember login”.

Frequently asked questions

Why is there no category on the email? Either the “Categories” switch is off; then a click in the “Categories” box turns it on. Or “Transfer request” or “Transfer message” did not succeed for this email. If the category is still missing with the switch on, ReGuest support can help.

Does the category have to be created in Outlook first? No. If the category “Request” or “Message” is missing in the mailbox, the add-in creates it.

Do emails that were transferred before the switch was turned on also get a category? Yes. An email that has already been transferred as a request or as a message gets its category as soon as it is opened or selected again with the switch on.

Does the setting apply only on this device? No. The setting applies to the Microsoft account, not only to this device.

Can the “Settings” page be reached without signing in? Yes. Without signing in, the menu in the header bar is called “Info & Settings”, and there “Settings” opens the “Settings” page.
