In the “Proposals” area, the hotel answers its guests' requests with offers. A communication brings together everything that belongs to a guest's trip: the request, one or more offers, the conversation with the guest and, at the end, the reservation. The bar of a communication shows these parts as the tabs “Request”, “Offer” and “Conversation”, in the order of their date.
Proposals › Overview lists the hotel's communications with their status, for example “Request”, “Sent proposal”, “Read proposal” or “Closed without offer”. The status changes with the communication: with a request, the communication is in “Request”, with a later offer in the status of the offer, and after a rejection in “Closed without offer”. A sent offer is therefore shown in the “Overview” with its communication, with the status “Sent proposal” or, as soon as the guest has opened their link, “Read proposal”. The “Open requests” filter shows the communications in the status “Request” and the communications whose offer has been created but not yet sent. At some hotels it is called “Unsent Proposals”.
Request
The request records what a guest asked for: arrival and departure, the number of adults and children, the meal plan, the rooms they want and their comments, and also where the request came from. On it, the hotel checks and completes this information and decides how to answer: “Create offer” creates an offer in the same communication, “Automated offer” hands the request over to an automated workflow, and “Archive without proposal” closes the communication.
Offer
With the offer, the hotel answers the request: it puts together rooms and prices in one or more variants, selects a template for the title, introduction text and information blocks and sends the offer with “Send” to the guest, who can book one variant from it. After sending, the communication is in “Sent proposal”, “Read proposal”, “Expired proposal” or “Declined proposal”, and if the guest books a variant, the reservation is added last to the communication.
Prerequisites
‘Proposals’ belongs to the Offers licence module. With Automated Workflows › Auto Offer, the “Automated offer” button is added on the request. With Channels › WhatsApp™ Integration, sending an offer via WhatsApp is added.
If the module is licensed, access to it is enabled for specific users through their role. The following need their own access in the role: “New request” and “Send”. Roles are managed by ReGuest support.
