Offer

With an offer, the hotel answers a guest's request: it puts together rooms and prices in one or more options, chooses a template for text and images and sends the offer to the guest, who can book from it. The offer is the “Offer” tab in the bar of a communication, reached via Proposals › Overview › Communication › Offer.

Example: Offering a room that the Offer wizard does not find

The “Offer wizard” dialog shows no matching result for the period, but the hotel wants to offer the room anyway. It therefore creates the room by hand and enters the price itself. The example applies to a hotel whose progress bar shows the step “D”.

  1. Open the request. Via Proposals › Overview › Communication › Request, the hotel opens the guest's request.

  2. Create the offer. “Create offer” creates a new offer on the same communication and assigns the next offer number. The offer is in step “D” of the progress bar.

  3. Create an option. “Save” saves the offer number. Only then does “Add option” appear, with which the hotel creates the first option.

  4. Add a room. In the “Option” tab, “Add room” creates an empty room row and opens the “Price Wizard (for one room)” dialog for it.

  5. Enter room and price. In the dialog, the hotel selects the “Room category”, the meal plan under “Select dining options” and the period under “Arrival - Departure”. Instead of fetching the prices from the price service with “Search”, it creates price rows that start with the unit price 0, and types the price in the dialog in the column “per unit”.

  6. Apply. “Apply” writes the room with its price rows into the option.

  7. Check the price. In the option, “Unit pr.” and “Qty.” can still be changed; the column “Unit pr.” exists only with the setting “Use units/day prices in price lines”. The “Price” of a row is “Qty.” times “Unit pr.”, minus a discount from the “Rabatt” column.

  8. Go on to the template. “Next” leads to step 1. It stays locked as long as an option has the price 0 without being marked as “at no charge”, or changes are not saved. Every change is saved automatically as soon as the editing of a field is finished, for example when leaving the field or with the Enter key.

  9. Choose a template. Under “Select a template” are the offer templates in the guest's language, filtered by the season of the arrival. “Next” goes to step 2.

  10. Edit the text. In step 2, the hotel adjusts “Title and Subtitle”, “Introduction text” and “Content blocks” and goes to step 3 with “Next”.

  11. Send. In step 3, the hotel checks the “Recipient” and the “Preview” of the page the guest receives. “Send” sends the offer.

  12. Result. As soon as the offer has been sent, the communication has the status “Sent proposal” in the “Overview”, and the title of the offer shows “sent/unread”. When the guest opens their link, the communication changes to “Read proposal” and the title to “sent/read”.

The pages in detail

Progress bar

The progress bar shows the steps “D”, “1”, “2” and “3”. An offer that is still being created always opens in the step it was last in. Without step D, an offer starts at step 1, the template.

Step D, data and options

This is where the options of the offer are created: rooms, rate plans and prices per option. Depending on the hotel, five to eight options are allowed. Not every hotel has this step, and an offer that comes from the PMS never has it.

  • “Options Wizard” fetches rooms and prices from the price service the hotel has set up.

  • “Copy from existing offer” takes over an earlier offer of the same communication. With “Copy template and content and go directly to step 3”, template and content come along at the same time, and the offer jumps ahead to step 3.

  • “Next” stays locked as long as there is no option, an option has the price 0 without being marked as “at no charge”, a required rate plan is missing or changes are not saved. There is no separate “Save” button for the options: every change is saved automatically as soon as the editing of a field is finished.

  • For a new offer, “Save” first saves the offer number. Only then does “Add option” appear, with which the hotel creates the first option.

Tab “Option”

The “Option” tab holds the rooms and price rows of an option.

  • “Add room” creates an empty room row and opens the “Price Wizard (for one room)”. This button and “Split price rows into days” exist only in step D, not in step 2.

  • “Unit pr.” and “Qty.” are fields that can be changed, even after the Options Wizard has filled them. The “Unit pr.” column appears only when the setting “Use units/day prices in price lines” is active. In the “Rabatt” column, at some hotels “Skonto”, the hotel chooses “%” or a fixed amount per price row, together with a value; the “Price” of the row drops by this discount.

  • “Add discount” calculates a percentage or an amount of the total price of the option and, with “Apply”, creates a negative price row under “Miscellaneous (price rows not assigned to a room)”, which lowers the price of the option.

  • “Split price rows into days” splits every price row of a room that covers two or more nights into one row per night.

  • “at no charge” allows an option with the price 0. “Price is undefined” marks the price of the option as undefined; if all options are marked this way, step 3 lacks the selection “Offer the following bookable additional services”.

For a net offer, every price table shows the column “VAT” and the note “All prices shown are exclusive of VAT.”.

Offer wizard

The dialog fetches rooms and prices from the hotel's price service for the period under “Arrival - Departure”. Besides the room prices, the result list also shows “Surcharge”, “Visitors tax” and “Final cleaning” where the price service supplies them. “Apply” creates a new option for each ticked option column, with the rooms and all price rows of the ticked results. “Surcharge”, “Visitors tax” and “Final cleaning” then appear as price rows of their own in the room and count towards the total price.

If the result would be too large, the dialog shows no list. Then “Filter rooms/rate plans by availability” appears, which narrows the selection “Room” and “Rate plan” to available entries.

Price Wizard (for one room)

The dialog opens with “Add room” for a single room. The hotel selects “Room category”, “Select dining options” and “Arrival - Departure”; “Search” fetches the prices for them from the price service, or shows “no availability”. Without “Search”, price rows with the unit price 0 can be created, whose price the hotel types in the dialog in the column “per unit”. “Apply” writes the room with its price rows into the option and stays locked until at least one price row exists.

Add rooms for group

The page shows the “Requested occupancy” and the columns “Room”, “occupancy”, “Meal plan” and “Price per room/night”.

Step 1, template

The hotel can choose from the offer templates in the guest's language that are not archived. “Filter templates by period” by default shows only the templates for the season of the arrival. If the “Introduction text” contains a placeholder for the validity date, the template is only applied if “Proposal is valid until” is filled in.

Step 2, editing

Here the hotel edits “Title and Subtitle”, “Introduction text”, “Content blocks” and the options. “Back”, after a confirmation question, removes the template together with all content blocks.

Step 3, “Send:”

Here the hotel decides who receives the offer and how long it is valid: “Recipient”, “Message via” with the channel “E-Mail” or “WhatsApp®”, and “Proposal is valid until”. If “Proposal is valid until” is ticked, it needs a date; the offer is then valid until the end of that day. The “Preview” shows the page the guest receives.

“Send” sends the offer. “Send” is locked if the guest is on the blacklist for e-mail marketing. WhatsApp is only available if the guest has a confirmed WhatsApp number.

Offer after sending

The title shows the state of the offer, for example “sent/unread”, “sent/read”, “Sending failed” or “booked”. An offer counts as read only when the guest link is opened; “Copy link (for test - not for guest)” does not count. Once the validity date has passed, the communication has the status “Expired proposal” in the “Overview”, and the title shows, for example, “expired (read)”.

  • “Resend” sends a sent or failed offer once more.

  • “Archive” files the offer away; it then counts as rejected. “Reactivate” makes it bookable again, unless its validity date has passed.

  • For each option, the button “Book option 1 for the guest” (with the number of the option) creates a booking request for the guest.

The guest can book only as long as the offer is sent or read.

Timeline of the communication

In the timeline of the communication, “New message” with the selection “Rejection” writes a rejection.

Similar requests: multiple offer

Under “Similar requests”, an existing offer can be transferred to several ticked requests. These offers go straight to sending without step 3. Not every hotel has this.

Similar requests: multiple rejections

Under “Similar requests”, the same rejection goes to several requests, with “Send rejections”. This works only for communications with the status “Request”.

Price query

The “Price query” shows prices but creates neither a request nor an offer. Not every hotel has it.

Prerequisites

  • ‘Offer’ belongs to the Offers licence module. With Channels › WhatsApp™ Integration, sending the offer via WhatsApp is added.

  • If the module is licensed, access to it is enabled for specific users through their role. The following need their own access in the role: “Send”. Roles are managed by ReGuest support.

Frequently asked questions

How can an offer be created by hand? The “Options Wizard” is not needed. In step D, “Add room” creates a room, and in the “Price Wizard (for one room)” the price can be typed in by hand, as in the example above.

The Offer wizard shows no result. How can the room be offered anyway? With “Add room” in the “Option” tab and price rows whose price the hotel enters itself, as in the example above. If the “Offer wizard” dialog shows no list because the result would be too large, “Filter rooms/rate plans by availability” narrows the selection.

Why does the Options Wizard contain a price that was not expected? The prices come from the price service the hotel has set up. They include “Surcharge”, “Visitors tax” and “Final cleaning” where the price service supplies them: they appear as price rows of their own in the room and count towards the total price. After “Apply”, the price rows can be changed in the option.

Can the price in the offer be changed? Yes, in step D: “Unit pr.” and “Qty.” can be changed, even after the Options Wizard. “Unit pr.” exists only with the setting “Use units/day prices in price lines”. A discount is given by the “Rabatt” column per price row or by “Add discount” for the whole option. An offer for an event can only be edited if the user's role includes access to events. Roles are managed by ReGuest support.

Why is “Send” greyed out? Either the user's role does not include sending offers, or the guest is on the blacklist for e-mail marketing. Roles are managed by ReGuest support. ReGuest support can give information about a guest's blacklist.

Why is step D missing? Not every hotel has step D, and an offer that comes from the PMS never has it. Without it, an offer starts at step 1, the template. ReGuest support can say whether the step is set up for the hotel.

Why does this offer have no request? If a PMS or a booking portal transfers an offer and there is no matching communication for it yet, a new communication without a request is created. It starts directly with the offer.

Can an offer be created automatically? Yes, with the Automated Workflows › Auto Offer licence module: “Automated offer” on the request hands it over to an automated workflow.
