VAT rates

On the “VAT rates” page, the hotel creates the VAT rates that ReGuest uses to tax prices, and sets which rate is the default for rooms and which for conference rooms. Room prices in offers are calculated with the default rate for rooms, and an additional service without the “Prices include VAT” tick gets a “VAT rate” from this list. The page is under Settings › Hotel Configuration › VAT rates.

Example: Create a new rate for rooms and set it as the default

A hotel wants to use its own rate for its room prices, with the internal name “Accommodation” and 10 percent. New offers should be calculated with it.

  1. Open VAT rates. Open Settings › Hotel Configuration › VAT rates. The list shows the existing rates with “Internal name” and “Percentage”, sorted by the percentage.

  2. Start a new rate. Select “Add”. The “Create VAT rate” page opens.

  3. Fill in the rate. Enter “Accommodation” in the “Internal name” field and 10 in the “Percentage” field.

  4. Create. Select “Create”. The interface returns to the “VAT rates” list, and the new rate is in it.

  5. Set as default. Under “Default rate for rooms”, in the “VAT rate” selection, choose “Accommodation”. The selection is saved immediately.

  6. Result. Room prices in the offer assistant and in automatically created offers are now calculated with “Accommodation”. Offers that already have price lines keep their previous percentage.

The pages in detail

VAT rates

The page lists all rates with the columns “Internal name” and “Percentage”, sorted by the percentage. If there is no rate yet, it shows “No data”. The rates do not apply per hotel; they are shared by all hotels.

  • “Add” opens the “Create VAT rate” page.

  • A click on the internal name of a rate opens the “Edit VAT rate” page. The name is shown as a link in the list.

  • “Default rate for rooms” sets, in the “VAT rate” selection, the rate used for the room prices in the offer assistant and in automatically created offers. Without a default, they are calculated with 0 percent.

  • “Default rate for conference rooms” sets, in the “VAT rate” selection, the rate used for the prices of the conference rooms. This section only exists with the MICE licence module.

Both defaults are saved immediately when selected. There is no empty selection on this page: a default that has been set can only be replaced here by another rate.

Create VAT rate

This is where a new rate is created. It has two fields: “Internal name” and “Percentage”. The percentage is at least 0 and less than 100. “Create” creates the rate and returns to the “VAT rates” list.

Edit VAT rate

Here you can change the “Internal name” and “Percentage” of a rate.

  • “Save” saves the change. The page stays open, and “saved” appears in place of “Cancel” and “Save”.

  • “Cancel” resets the changed fields to the saved values. The page stays open.

  • “Delete” deletes the rate after a confirmation prompt. This is only possible as long as no additional service and no default rate of a hotel uses the rate.

A changed percentage only affects new prices. Each price line of an offer stores the percentage itself, so existing price lines keep their value. The price list in the guest area and the PDF of the offer show the percentage from the price line.

Where else the rates take effect. An additional service gets either the “Prices include VAT” tick or a “VAT rate” from this list. If an offer shows net prices, its PDF shows the “Net subtotal” and one line per rate.

Prerequisites

  • ‘VAT rates’ needs one of these licence modules: MICE or Offers › Show price lines as net price plus VAT.

  • If one of these modules is licensed, access to it is enabled for specific users through their role. Roles are managed by ReGuest support.

Frequently asked questions

Why can a VAT rate not be deleted? An additional service or a default rate of a hotel uses it. For the additional service, choose another “VAT rate”, or under “Default rate for rooms” or “Default rate for conference rooms”, select another rate. After that, the rate can be deleted.

Does a changed percentage change existing offers? No. Each price line keeps the percentage it was created with.

Which rate are room prices calculated with if no default is set? With 0 percent.

Does a rate apply to only one hotel? No. The rates apply to all hotels together.

Why is “Default rate for conference rooms” missing? The section only exists with the licence module MICE. ReGuest support can tell you whether MICE is licensed for the hotel.

Why is the “VAT rates” menu item missing? The menu item needs one of the licence modules MICE or Offers › Show price lines as net price plus VAT, and access is enabled for specific users through their role. The roles are managed by ReGuest support. ReGuest support can also tell you whether one of the licence modules is set up for the hotel.
