In the “Settings” tab, the hotel sets its basic data and the rules by which ReGuest handles offers, deposits, online check-in and automatic messages. The tab is under Settings › Hotel Configuration › Settings and is one page with several boxes, one for each topic. Saving is done with the button in the title bar.
Example: Have a deposit of 30 percent suggested
A hotel asks for a deposit of 30 percent of the price for every booking, as a round amount, and the deposit should be paid 7 days before arrival.
Open Settings. Open Settings › Hotel Configuration › Settings. The page shows the boxes of the hotel configuration, among them the “Deposit” box.
Enter the percentage. In “Default percentage for deposit (of the total price)”, enter 30.
Round. Switch on “Round to integer number”.
Set the deadline. In “Default validity period of the deposit request”, enter 7 and select “before arrival”.
Save. Select the save button in the title bar.
Result. When a deposit is created after this, ReGuest pre-fills the amount: with 30 percent of the price, rounded to a whole number. If the hotel's property management system supplies an amount, ReGuest takes that one. The validity of the deposit request ends 7 days before arrival.
The pages in detail
Connect WhatsApp® account and Connect Facebook® account
These two boxes appear at the top of the page only when a connection is missing. “Connect WhatsApp® account” appears for every WhatsApp external service that does not have an account yet. After signing in, ReGuest saves the account, takes the first phone number that is still free and sets it up. “Connect Facebook® account” appears for every Facebook external service without a connected page, and for one with Instagram activated that is missing the Instagram account. With several Facebook pages, the hotel selects the Facebook page under “Connected apps” and confirms with “Select”. ReGuest rejects a Facebook page that is already connected to another external service. Once the connection is made, the box shows “Account connection successful”.
General settings
“Time zone” is mandatory. Without it, the interfaces to Oracle Opera Cloud, SIHOT, Scidoo, Incert, Apaleo and Ibelsa cannot be used.
“Currency” offers euro, Swiss franc, US dollar, Romanian leu and British pound. “Currency symbol before price” puts the symbol before the amount in prices for guests.
“Max. age for children” is “no children” or 8 to 17 years. Without a value, 17 applies. With “no children”, the request form in the guest area has no field for children, the interface for requests rejects requests with children, and the Website Messenger skips the step.
“Tourist tax from age”: For tourist-tax additional services that are charged per person, all adults and the children from this age onwards count. With 0, every child counts.
“Standard author (automated messages)” is the author of automatic messages of the messaging channels, of automatically processed offers from property management systems and of automatically created deposits. An author, once set, cannot be removed again.
“Use gender ‘Other’”: Only with this does the booking form in the guest area offer “Other”.
Offer and Check-Out
“Default expiration for offers” sets the expiry date of a new offer to today plus the days entered, at most up to the first arrival. Imported offers get it too.
“Price information display (guest)” sets how the price information for the guest appears in the offer PDF and in the booking confirmation document: “Default” or “Collapsed price details”. With “Collapsed price details”, the offer PDF additionally shows, below the price rows of each room, a “Price” row with the room price, provided the price of the offer is fixed.
“Quantity column label (price row)” chooses between “Amount” and “Nights”.
“Use units/day prices in price lines” shows the unit price and quantity in a price row.
“Always show discount (value) in the offer” shows, for a discount as a fixed amount, the old price crossed out and the deduction.
“Add description of additional service in price row” takes over the description when an additional service is added in the offer.
“Amount confirmation in the reservation confirmation”: The guest confirms the amount on the confirmation page.
“Mandatory rate-plan assignment for all rooms”: If not every room has a rate, “Next” stays locked.
“Include departure day (last day of period) for price calculation” counts days instead of nights.
“Show additional services already in the offer” shows the additional services for each variant in the guest area.
“Room info boxes” sets whether the rooms in the offer appear open or closed: “Open, when only one room in variant”, “All rooms expanded” or “All rooms collapsed”.
Four fields set deadlines in days; 0 switches the deadline off:
“Automatically archive non-booked offers after”: Offers that were not booked count as expired this many days after arrival.
“Automatically cancel reservation with open deposit request silently after departure”: Requested bookings and bookings with an open deposit request are cancelled without a message this many days after departure.
“Automatic archiving of not completed check-outs after”: Check-outs that were not completed are archived this many days after departure.
“Hide prices in offers and bookings for guests after”: The guest area hides the prices if the departure was more than this many days ago.
Deposit
As in the example above, the box sets which amount ReGuest suggests for a new deposit and how long the deposit request is valid. “Default amount for deposit” applies if no percentage is entered. With “after creation”, the validity period counts from creation, at most up to arrival. With “before arrival”, it counts before arrival. If “Default validity period of the deposit request” is empty, the deposit request is valid until the day of arrival.
“Allow empty deposit amount”: Without this switch, a deposit without an amount cannot be saved.
“Only allow deposit message if the offer is confirmed or marked as an option in the property management system”: If the offer is neither confirmed nor marked as an option there, ReGuest hides the deposit message.
“Require consent for credit card charge (deposit)”: The guest ticks a box before the credit card is accepted.
Online check-in
The switches under “Input fields and options for the main guest”, “Input fields and options for fellow travellers”, “Mandatory input fields for all persons” and “Input fields and options for travel documents” set what the guest enters during online check-in.
“No travel document entry for minors” does without the travel document for persons under 18.
“Tax number for Italians (residence)” asks for the tax number only for the first person resident in Italy.
“Newsletter subscription” offers the guest the newsletter subscription during online check-in. For guests who are already subscribed, it is left out.
“Automatic archiving of not completed check-ins after” archives check-ins that were not completed this many days after departure.
Statistics
“Mandatory assignment of advertising source for new requests/offers”: Without a complete request source, requests and manually created offers cannot be created. A source, once set, can no longer be removed afterwards.
Guest profiling tags
This box holds the values for regular guests and turnover. If a guest has at least as many confirmed bookings as are entered under “Minimum count of reservations for regular guests”, they get the tag “Regular guest”. “Turnover of the last years” is a number of years: based on the price of the guest's confirmed bookings from these years, the guest gets a tag for their turnover. Both values start at 3.
Marketing campaigns
“Guest for test runs” receives the test mailings of campaigns. Without this guest, a test stops with a notice.
“Unsubscribe page” offers “Unsubscribe only” and “Unsubscribe or choose a preference for frequency”. With the second option, the guest chooses one of 3 frequencies or unsubscribes completely.
“Trusted domains for messenger view”: The Website Messenger opens links from campaigns to these domains within itself, and other links in a new tab.
Guest Automation Policies
A policy names an “Email address”, an “Email domain” or a “Booking channel” and one or more “Restrictions”. For a “Booking channel”, the only “Restrictions” are “Import from external service” and “Automatic booking confirmation”. If a policy applies to a guest, the following applies for each restriction:
“Import from file”: The one-off import from a file leaves out the address.
“Import from external service”: Data from a property management system or booking portal is not saved.
“Automatic booking confirmation”: The automatic booking confirmation is not sent.
“Marketing messages”: Campaigns and selections leave out the recipient.
“Email/requests import (Copilot)”: The Outlook add-in still imports the e-mail, but reads the name and address from the text of the e-mail instead of from the sender, and sets the “Request source codes for e-mails (optional)”.
“Simplified emails”: E-mails to the address contain only text and a link.
ReGuest also creates its own policies, among them for sender domains of booking portals. They cannot be deleted.
Prerequisites
‘Settings’ does not need a licence module of its own. Offers adds the boxes “Offer”, “Deposit” and “Statistics”. Guest Management adds the boxes “Check-Out”, “Online check-in” and “Guest profiling tags”. Sales Campaigns adds the “Marketing campaigns” box.
Access to ‘Settings’ is enabled for specific users through their role. Roles are managed by ReGuest support.
Frequently asked questions
Why does a guest not get a booking confirmation? A policy with “Automatic booking confirmation” applies to their address or their booking channel. The policy is in the “Guest Automation Policies” box. ReGuest support can help with questions about this policy.
Why was a booking cancelled without a message? It was requested or was waiting for the deposit, and the deadline under “Automatically cancel reservation with open deposit request silently after departure” has passed. With 0, this deadline is switched off.
Why are boxes such as “Offer” or “Check-Out” missing? Individual boxes belong to a licence module, as described under “Prerequisites”. ReGuest support can tell you whether a box is set up for the hotel.
Why is the “Hotel Configuration” menu item missing? The user's role does not enable it. Roles are managed by ReGuest support.
