Under “Generic files”, the hotel stores files that staff send to guests as an attachment or place in texts as a download link. The menu path is Settings › Generic files.
Example: Upload a directions map and place it as a link in a snippet
Open the menu item. Open Settings › Generic files and select the tab “Add”.
Select the file. “Browse files...” opens the computer's file picker. The file “Directions.pdf” is selected and appears in the list below.
Enter the description. The “Description (for the link)” is changed to “Directions map”. This description later becomes the text of the link.
Upload. The button with the count, such as “Upload 2 files”, uploads the file and shows the progress while doing so.
Set the link. Under Settings › Content snippets, “Edit” in the tab “Text blocks (editor)” opens a snippet. There, “Add file download” in the editor opens the file picker. A click on “Directions.pdf” inserts a link.
Result. The text contains the link “Directions map”. It leads to the download of the file.
The pages in detail
Generic files
The list shows the hotel's files with the columns “File name”, “Description (for the link)”, “Uploaded” and “Size”. The filter “File name” searches only in the file name. If there is no file, the list shows “No entries found.”
“Download” downloads the file.
“Delete” asks for confirmation and deletes the file only after it is confirmed.
“File name” and “Description (for the link)” can be changed directly in the list. A file name without an extension is rejected.
Add generic files
On the tab “Add”, the hotel uploads new files.
“Browse files...” opens the computer's file picker. Each selected file goes into the list below, with “File name”, “Description (for the link)” and “Size”.
“Description (for the link)” can be changed in the list before uploading. Without an entry, it is the same as the file name.
“Remove” takes a file that has not yet been uploaded out of the list again.
The button with the count, such as “Upload 2 files”, uploads the valid files of the list and shows the progress while doing so.
“Upload anyway” appears when at least one file in the list is invalid during the upload, and then uploads only the other files.
“Upload more files” appears when all files have been uploaded, and empties the list for new files. “To the file list” switches to the list “Generic files”.
The allowed file types are PDF, JPEG, PNG, TIFF, GIF, ZIP, Word, Excel, PowerPoint and text, up to 10 MB per file. For a larger file, the list shows “The file is larger than 10 MB and cannot be uploaded.”, for a file of another type “This file type is not allowed and cannot be uploaded.”; neither is uploaded.
Attachment in a conversation
When attaching in a conversation, “From generic files” shows the generic files with “File name”, “Uploaded” and “Size”, and one of them is selected as the attachment. Via WhatsApp, Facebook and Instagram, an attachment only goes out if the message has exactly one.
File picker in the editor
In the file picker of an editor, a click on a file inserts a link that shows the “Description (for the link)” as its text and points to the download of the file.
Prerequisites
‘Generic files’ does not need a licence module of its own.
Access to ‘Generic files’ is enabled for specific users through their role. Roles are managed by ReGuest support.
Frequently asked questions
Why can't a file be uploaded? It is larger than 10 MB, or its file type is not allowed. “Upload anyway” uploads the other, valid files of the list. For a file that cannot be uploaded this way, ReGuest support can help.
How is a file replaced with a new version? Replacing is not possible. The old file is deleted and the new one uploaded. Links to the old file then lead nowhere and must be set again.
Can anyone who has the link open the file? Yes. A generic file can be reached through its link without signing in; the link contains a random identifier.
Why did an attachment not go out over WhatsApp? Via WhatsApp, Facebook and Instagram, an attachment only goes out if the message has exactly one. For these channels, each file therefore needs a message of its own.
Why can't a colleague see the menu item “Generic files”? Their role does not enable this menu item. Roles are managed by ReGuest support.
