Content snippets

Under “Content snippets”, the hotel maintains texts that it needs again and again, per language: short text snippets for the editor, content blocks for offers and reservation confirmations, fixed system snippets, reservation texts, terms and conditions, the salutation of guests, and content pages made of media and text. The menu path is Settings › Content snippets.

Example: Put a content block for the winter season into every offer

The hotel wants every offer in the winter season to contain a block with notes on winter, without anyone inserting it by hand.

  1. Open the tab. Open Settings › Content snippets and select the “Content blocks” tab.

  2. Start a new content block. “New content block” opens the editor for a new, empty content block.

  3. Enter language and names. Under “Snippet language”, select German. “Short name” gets a name under which the block appears in the list, such as “Winter notes”, and “Content block title” gets the title of the block, such as “Holidays in winter”.

  4. Write the text. In the “Content” section, write the text of the block. If “Formatted text (HTML)” is switched on, this is an editor with formatting.

  5. Select the season. “Season / Period” assigns the content block to a season. Then “Automatically add block to offers in the season” appears; tick it.

  6. Set the position. Under “at position”, set the place of the block in the offer, a number from 0 to 99. 0 means “as last one”.

  7. Show it open. Switch on “Show expanded in offer”. The block then starts expanded in the offer.

  8. Create the block. “Create” saves the new content block.

  9. Result. Offers in the winter season get the block. In the guest area of the offer, it appears as an expandable box that starts open.

The pages in detail

Text blocks (editor)

The “Text blocks (editor)” tab lists the simple snippets. A “Simple snippet” is a short text that staff insert into an editor. The editors of the Auto Messages, for example for pre-stay and post-stay, offer simple snippets and content blocks in the guest's language. They do not offer archived snippets.

“New snippet” opens the editor for a new, empty simple snippet, “Edit” opens it for the selected snippet. “Duplicate” creates a copy with “(Copy)” in its name. “Duplicate and translate...” opens the “Translate to” field in the row and creates a translated copy: title and content are translated first, and if the translation fails, no copy is created. The translated copy has no “Facility/Hotel” and no season.

Above the list, you can filter by “Short name”, “All languages” and “All facilities/hotels”. If a building or hotel is selected under “All facilities/hotels”, the list also shows snippets without a building or hotel, as long as “only” is off. Every snippet needs a “Short name”; without it, it does not appear in the list.

From the “Text blocks (editor)” list and from the “Content blocks” list, the same editor opens, described under “Edit snippet”.

Content blocks

A content block is a snippet with a “Content block title” that appears in the offer in the guest area, as an expandable box. “New content block” opens the editor for a new, empty content block. The filters are the same as under “Text blocks (editor)”.

Edit snippet

Here the hotel creates or changes a simple snippet or a content block.

  • “Select snippet type” switches the type between “Simple snippet” and “Content block”.

  • “Snippet language”, “Short name” and “Content block title” give the snippet its language, its name in the list and, for a content block, its title.

  • “Content” is the section with the text. With “Formatted text (HTML)”, this is an editor with formatting instead of a single-line text field.

  • “Season / Period” assigns a content block to a season. Then “Automatically add block to offers in the season” appears; if it is ticked, “at position” sets the place of the block in the offer, a number from 0 to 99, where 0 means “as last one”.

  • “Show expanded in offer” makes the block's box start expanded in the offer.

  • “Also show in reservation confirmation”: If the block is in an offer and the guest books this offer, the title, content and image of the block are also added to the reservation confirmation.

  • “Add rate plan association” assigns a saved content block to rate plans, with one position per rate plan. An offer gets content blocks according to their rate plan association and season.

  • “Create” saves a new snippet, “Save” an existing one. If there are no unsaved changes, the button is disabled.

  • “Archive snippet” archives a content block; it then shows “This snippet has been archived.”, and the editors of the Auto Messages no longer offer it. A simple snippet cannot be archived, only deleted. A content block can be deleted as long as no offer template uses it. Under “This snippet is used in these templates” are the templates that use it.

System

System snippets are fixed texts that ReGuest itself outputs in certain places, for example in the legal notice of the guest area, of e-mails and of the offer PDF, at the booking button of the offer, in the booking form and with the house rules. The house rules also appear in the pre-check-in of the website messenger. The selection divides them into the groups “General”, “Credit card / Online payment”, “Booking Form”, “Deposit information”, “Booking Confirmation” and “Online check-out”.

System snippets cannot be created or deleted; their language and their meaning are fixed. “Edit” opens “Edit system snippet”. Snippets with “Deprecated snippet” are at the end of the list and can still be edited.

An example of the effect: “Alternative term for final cleaning in price queries” and “Alternative term for visitor's tax” replace, in price queries through price interfaces, the name of the respective price line.

Edit system snippet

Here the text of a system snippet is changed in the “Content” field. “Save” saves it.

Reservation texts

Here are the texts with which ReGuest responds to reservations, in four types: “Reservation deposit text”, “Reservation confirmation text”, “Reservation confirmation content block” and “Reservation cancellation text”. “New reservation text” opens the editor for a new, empty reservation text.

ReGuest uses the default templates as follows:

  • “Reservation deposit text” for direct booking: If there is no default template, ReGuest creates no deposit request.

  • Automatic booking confirmation: If there is no default template, no confirmation is sent. Every “Reservation confirmation content block” with “add to reservation confirmation by default” is added.

  • Automatic cancellation: If the default template results in an empty text, the reservation is cancelled without a message.

If there are several default templates, the one of the reservation's “Facility/Hotel” applies, otherwise the one without “Facility/Hotel”.

Edit reservation text

Here “Select snippet type” selects the type of reservation text. “Reservation deposit text”, “Reservation confirmation text” and “Reservation cancellation text” have the “Default template” switch: If it is set, every other template of the same type, language and “Facility/Hotel” is no longer marked as the default template.

Terms & conditions

Here are the hotel's terms and conditions texts, per language and, if desired, per “Facility/Hotel”. Every offer template needs a terms and conditions text in its language; without one, it cannot be saved. If the booking conditions of an offer require terms and conditions, the booking form in the guest area shows the “Accept terms & conditions” checkbox, which opens the text.

Guest salutation

Here, for each active language, is how ReGuest addresses guests.

Salutation

The “Salutation” tab has one field per type of guest and gender: “person, male”, “person, female”, “Person, diverse”, “person, not specified”, “family” and “company”. “Person, diverse” appears only if the hotel uses this gender. Placeholders are first name, last name and title. A salutation must not be empty and must not end with “!” or “,”.

ReGuest uses the salutation in the guest's language, and for a guest without a language the English one. Guests of whom only the e-mail address is known get a fixed greeting per language. A salutation saved by hand on the guest takes precedence.

Closing line

The “Closing line” tab holds the line that appears in the signature of e-mails and conversations and in the confirmation a guest gets via WhatsApp.

Content pages

A content page combines media and text into a page that the guest sees in the offer, in the reservation confirmation and in the pre-stay. The list shows the columns “Internal name” and “Language” and filters with “Filter by internal name...” and “All languages”. “Add” opens the editor for a new, empty content page.

Create or edit a content page

A content page has an “Internal name”, a “Language” and a sequence of blocks. Blocks can only be added once there is a language. Under “Select the layout for the block to be created”, the layout of a new block is selected; there are five layouts. A block has a heading and a subtitle. A block can be on several pages; “Remove block” detaches it only from this page. The language of a page is fixed as soon as it has blocks or a template uses it. “Delete content page” only works if the page has no blocks and no template uses it.

Duplicate content page

“Duplicate and translate” in the list opens the “Duplicate content page” dialog and copies the page into another language; a block that has already been translated is reused.

Use in templates

“Use in templates...” on the page of a content page opens the “Use in templates” dialog. It assigns the page to templates of its language, in the groups “Offer templates”, “Booking confirmation templates”, “Deposit request templates”, “Cancellation templates” and “Pre-stay templates”. “Assign only to templates without a content page” assigns the page to all templates of a group without a content page, “Assign to all templates” to all templates of the group. If a template already has another content page, the dialog asks first, and “Apply” replaces the existing assignment.

Existing blocks

“Existing blocks” in the list of content pages opens the “Existing blocks” dialog. Only there does “Archive” archive a block, and only as long as no page uses it.

Prerequisites

  • ‘Content snippets’ does not need a licence module of its own. With Offers, the “Terms & conditions” tab is added. With Guest Management, “Duplicate and translate...” is added. With Multi-Property, the field and the filter “Facility/Hotel” are added.

  • Access to ‘Content snippets’ is enabled for specific users through their role. The following each need their own access in the role: “System” and “Guest salutation”. Roles are managed by ReGuest support.

Frequently asked questions

Why is the “Terms & conditions” tab missing? The tab belongs to the Offers licence module. ReGuest support can tell you whether it is set up for the hotel.

Why are the “Content blocks”, “System”, “Reservation texts”, “Terms & conditions” and “Content pages” tabs missing entirely? Not every hotel has these tabs. ReGuest support can tell you whether they are set up for the hotel.

Why can't a colleague see the “System” or “Guest salutation” tab? The role enables both tabs separately. Roles are managed by ReGuest support.

Why was no automatic booking confirmation sent? One possible cause: there is no “Reservation confirmation text” with “Default template”. It is set in the “Reservation texts” tab.

A reservation was cancelled without a message. Why? One possible cause: the “Reservation cancellation text” that counts as “Default template” results in an empty text. You can fill it in on the “Reservation texts” tab. A second possible cause: the Offers licence module is missing. ReGuest support can tell you whether it is set up for the hotel.

Why can't a content block be deleted? An offer template still uses it. Under “This snippet is used in these templates” are these templates; the block must first be removed from them.

Why does a content page not appear for the guest? It is not assigned to the template; that is done via “Use in templates...”. Or the hotel's guest area uses a layout that does not show content pages. ReGuest support can check this.

Why is “Add rate plan association” missing? The rate plan association is not set up for every hotel. ReGuest support can tell you whether it is set up for the hotel.
