In the “Facilities/Hotel Group” tab, a business with several properties or member hotels creates each of them as a building. A building has its own names and logos per language and its own third-party services, and its short code appears in the lists of requests, conversations and reservations. The tab is under Settings › Hotel Configuration › Facilities/Hotel Group.
Example: Create a second house as a building
A hotel has a main house and an annex. The annex should appear as a building of its own.
Open Facilities/Hotel Group. Open Settings › Hotel Configuration › Facilities/Hotel Group. The page shows the “Facility List”.
Create a new building. Select “Add”.
Fill in the mandatory fields. Enter “Internal name”, “Code” and “Short code”, for example “Dependance”, “dependance” and “DEP”. The “Code” consists only of letters, digits, “_” and “-”; the “Short code” has at most 3 characters.
Enter the names per language. For each language, fill in the “Name” field, for example “Name (German)”. “Copy from internal name” enters the value from “Internal name” there.
Choose a logo. Under “Logo”, choose an image via “Select image”. ReGuest applies it to all languages in which no logo is set yet.
Create. Select “Create”. It is only saved when every language has a name and a logo.
Result. The annex appears in the “Facility List”. Its short code “DEP” appears as a marker in the lists of requests, notifications, conversations, reservations, check-outs and online payments. The Website Messenger offers guests the buildings to choose from.
The pages in detail
Facility List
The list shows the buildings of the business with their short code. An archived building has the status “archived”. If there are none yet, it says “There are no facilities yet.”
New facility/associated hotel
Mandatory fields. “Internal name”, “Code” and “Short code” are mandatory. If the Website Messenger is embedded with the “Code” of a building, ReGuest assigns requests and conversations from there directly to this building. The Website Messenger then shows the name and address of the building and skips the choice of building. The “Short code” has at most 3 characters; ReGuest saves it in capital letters and shows it as the marker of the building in the lists.
Name and logo per language. Per language there is a “Name” field and a “Logo”; both must be filled in for every language before the form saves. “Copy from internal name” appears as long as the name of a language is empty, and enters the value from “Internal name” there. Whether the name and logo of the building replace those of the hotel depends on how Multi-Property is set up for the hotel. ReGuest support can tell you.
“Default deposit policy”. The field is optional and appears only if there are deposit policies that are not assigned to any rate or rate group; only these are available to choose from. For a reservation of the building, the selected policy applies only if it is active and marked as default. If a policy takes effect through the rate, its category or its group, that one applies instead of the selected one.
Third-party services. “Add third-party service” appears as long as the form has no unsaved changes, and shows “Third-party service”. Only third-party services that are not yet assigned to any building are available there. “Apply” saves the assignment immediately. “Associated third-party services” lists the third-party services of the building; “Remove” removes the assignment of a third-party service again after a confirmation prompt. For online payment and travel insurance of a building, ReGuest first uses the third-party service that is assigned to this building.
E-mail addresses. The “Email sender address” of a building is the sender of the e-mails that ReGuest sends for this building, such as offers, notifications and campaigns. If the field stays empty, the hotel's sender address applies; only addresses on “@re-guest.com” are allowed. If “Send incoming requests as emails to the hotel” is active, ReGuest sends incoming requests of the building as an e-mail to the “Forwarding email address for requests” instead of to the hotel's forwarding address. If the field stays empty, the e-mail goes to the hotel's address.
Archive. A building cannot be deleted. “Archive” archives it, and the form then shows “The building has been archived and is only available for statistical purposes.”
Prerequisites
‘Facilities and hotel group’ belongs to the Multi-Property licence module.
If the module is licensed, access to it is enabled for specific users through their role. The following need their own access in the role: “Email sender address” and “Forwarding email address for requests”. Roles are managed by ReGuest support.
Frequently asked questions
Why is the “Facilities/Hotel Group” tab missing? The tab appears only with the Multi-Property licence module. ReGuest support can tell you whether it is set up for the hotel. In addition, access is enabled for specific users through their role. Roles are managed by ReGuest support.
Why can the building not be saved? A mandatory field is empty, or a language is missing its name or logo. Fill in “Internal name”, “Code” and “Short code” and set “Name” and “Logo” for every language; after that, the form saves.
Why is “Add third-party service” missing? The form has unsaved changes. After saving, the button appears.
Can a building be deleted? No. A building can only be archived; after that it is only available for statistical purposes.
Why can the “Email sender address” of a building not be changed? “Email sender address” and “Forwarding email address for requests” need their own access in the role. Roles are managed by ReGuest support.
