Auto Selection automatically contacts people who sent a request in the past. Every night, ReGuest looks for guests who sent a request on the same calendar day of a previous year, and plans a message for them with a link to a personal page of the guest platform. There, the guest can send a new request. For this, the hotel sets up once which guests the run contacts. After that, “Jobs” and “Recipients” show who was contacted, and “Overview” how many requests, offers and bookings came from it. The menu path is Sales Intelligence › Auto Selection.
Example: Contact people who sent a request without booking again every year
The texts of the messages come from the templates under Settings › Templates for selection actions, not from the “Settings” tab of Auto Selection. Auto Selection only uses templates where “Use for automated selections” is set.
Open “Auto Selection”. Under Sales Intelligence › Auto Selection, the page opens with the tabs “Overview”, “Jobs”, “Recipients” and “Settings”.
Open the “Settings” tab. It shows two blocks, one job each: “People with request date in the previous year(s) without reservation” and “People with request date in the previous year(s) with reservation”.
Switch the job on. The switch in the block “People with request date in the previous year(s) without reservation” switches the job on. The other fields of the block then appear.
Set “Preprocess”. Enter how many days in advance the run selects the guests, for example 3 days.
Select “Author of all messages”. A user of the hotel is mandatory for an active job.
Check “Active languages”. With “Active for all languages”, the run contacts guests in every language of the hotel. If the block shows “There is no template for the language.”, there is no template at all for this language.
Click “Save”.
Result. From now on, every night the run selects the guests for the day three days ahead, the target day: guests whose request without booking arrived on the same calendar day of a previous year. The “Jobs” tab shows every run that found guests, with the type “Guests who have inquired”. The messages go out on the target day between 6 and 7 a.m., without anyone approving them.
The pages in detail
Overview
The “Overview” tab with the heading “Overview and Reports” shows key figures on the mailings of Auto Selection, from the messages sent to bookings and revenue. It assigns every mailing to the day of its planned start.
“Period” sets the days. Without a date, the whole previous month applies. Both dates can be yesterday at the latest.
“Grouped by” sums up the figures by “day”, “week” or “month”. Without a choice, this depends on the length of the period: under six weeks by day, under nine months by week, otherwise by month.
“Chart type” shows the “Messages and Requests” chart as “Lines” or “Bars”, split into “with request” and “without request”.
“Key data” shows “Messages”, “Click rate”, “Interaction rate” and “Requests”; if there are requests, “Offers”, “Bookings”, “Booking rate” and “Revenue” are added. “Booking funnel” shows the same chain as stages, from “Messages sent” through “Guests clicked”, “Requests received” and “Offers sent” to “Bookings” and “Revenue”.
Jobs
The “Jobs” tab with the heading “Planned and executed Actions” lists the runs of Auto Selection. Without a date in the “Period” filter, it shows the runs from seven days before to seven days after today. The columns are “Date”, “Type”, “Recipients” and “Status”.
“Type” is “Guests who have inquired” or “Guests who have booked”.
“Status” shows how far the run has got, from “Selection in creation” to “Action executed”.
The pencil in a row opens the details of the run.
Details
“Details” with the heading “Auto-Selection” shows the recipients of a run with “Guest”, “Email address” and “Status”. The “Filter” shows “all”, “not sent”, “sent”, “opened” or “not opened” recipients.
As long as the action has the status “Ready for customization”, there is a pencil in the “Status” column of a guest. It opens “Edit platform content for …”.
The switch in a row takes a guest out or back in and saves immediately. A guest who was taken out is in the list with “stopped” and the reason “Manually removed”. As soon as sending starts, the switch is locked.
Recipients
The “Recipients” tab shows the individual guests across all runs. If no period is set in the filter, it shows the guests from today to 14 days from now. The list can be filtered by type and by “Guest name”. A guest for whom the run finds no template, or who does not pass the check shortly before sending, stays in the list, with “stopped” and the reason, such as “Missing template”, “Marketing consent withdrawn” or “Guest is blacklisted”. The switch and the pencil work as in the details.
Edit platform content for …
This dialog opens through the pencil in the details of a run or under “Recipients”. There, you can change the “Title” and “Content” of the page that this guest opens through the link. “Preview” opens the page of the guest platform, “Save” applies the change.
Settings
The “Settings” tab always shows exactly two jobs: “People with request date in the previous year(s) without reservation” and “People with request date in the previous year(s) with reservation”. In “Jobs” and “Recipients”, the same types are called “Guests who have inquired” and “Guests who have booked”. The switch of a block switches its job on; the other fields only appear for an active job.
“Preprocess”: how many days in advance the run selects the guests, 1 to 14 days.
“Number of included years”: With a tick at “Restrict to”, only requests from the entered number of previous years count, 1 to 10. Without a tick, requests from all years count.
“Exclude recipients”: Guests who have already received a message through a selection action “within the last” 0 to 365 days do not get another one.
“Author of all messages”: mandatory for an active job. This user is shown as the author of every message that the run creates in the conversation with the guest.
“Privacy”: Without a tick, messages only go to guests who have agreed to email marketing. With a tick at “also people who have not explicitly agreed to the use of their data for email marketing/newsletter sending”, they also go to people whose consent is unknown.
“Active languages”: all languages of the hotel or individual ones, at least one. The run does not contact guests in another language.
“Periods of arrival”: “Apply to all periods of arrival”, “Apply only to following periods of arrival” or “Apply to all periods of arrival except the following”, with the seasons that “Add...” adds. With “Apply only to following periods of arrival” and “Apply to all periods of arrival except the following”, the season of the original request counts. This is the season of the offer template of the original offer or of the booking. If there is none, the season in which the original arrival fell counts. A guest whose season does not match does not get into the list at all. Adding or removing a season saves immediately.
“Save” saves the jobs.
Whom the run does not contact. Besides the settings, the run leaves out these guests: guests on the blacklist, guests whose own marketing interval has not yet expired, and guests with a request, an offer or a booking whose arrival is 30 days before the target day or later. Shortly before sending, ReGuest checks every guest once more; anyone who does not pass the check then gets nothing and is listed with “stopped” and the reason under “Recipients”.
Non-binding request
This page is seen by the guest, not by the hotel. The email carries the subject and text of the template and an unsubscribe link. The link leads to a page of the guest platform with the content of the template and the form “Non-binding request”. A request from there carries “ReGuest Auto Selection” as its campaign. With the request, the conversation becomes visible in the back office.
Prerequisites
‘Auto Selection’ belongs to the Auto Selection licence module. With Channels › WhatsApp™ Integration, delivery via WhatsApp is added.
If the module is licensed, access to it is enabled for specific users through their role. The following need their own access in the role: “Overview” and “Settings”. Roles are managed by ReGuest support.
Frequently asked questions
Why did a former guest not get a message? The reason is in the details of the run or under “Recipients”, for example “Missing template”, “Marketing consent withdrawn”, “Marketing action interval”, “Guest automation policy” or “Guest is blacklisted”. Guests with a request, an offer or a booking whose arrival is 30 days before the target day or later do not get into the list at all. The same applies to guests in a language that is missing under “Active languages”. For “Missing template”, a template with “Use for automated selections” in the guest's language helps. Which guests the run selects is set in the “Settings” tab.
Why is there no run for a day under “Jobs”? If the run found no matching guest, it does not appear in the list. Which guests the run selects is set in the “Settings” tab.
Does someone have to approve the mailing? No. It starts by itself on the target day. If you do not want to contact a guest, take them out beforehand in the details with the switch.
Why are the runs not listed with the selections under Sales Campaigns? That list only shows selections created by hand. The runs of Auto Selection are under “Jobs”.
Why does the menu item carry the note “Test mode”? As long as the note is there, no guest receives a message. ReGuest support can tell you whether this is how it is set up for the hotel.
Why is the “Settings” tab missing? Only users whose role allows this access can see it. Roles are managed by ReGuest support.
