The Outlook add-in “ReGuest Copilot” shows the guest data from ReGuest for an email in Microsoft Outlook and transfers emails and requests to ReGuest. The add-in has no entry in the main navigation; it opens via the “Re:Guest” button in the “Re:Guest Outlook Add-in” group of the Outlook ribbon. The sections from “Signing in” onwards describe the add-in.
Messenger
The “Messenger” menu item holds all conversations with guests and with senders who are not yet assigned to a guest, whether they came in via the Website Messenger, WhatsApp, Facebook, Instagram or as a reply by email. From here the hotel replies, marks conversations as done with “Set to done” and assigns unknown senders to a guest with “Assign conversation to a guest”.
Signing in
In the Outlook add-in, each staff member signs in on the “Login” page with “Re:Guest instance code”, “Username” and “Password”; signing in is not possible unless “I accept and acknowledge the privacy policy.” is ticked. At the first sign-in, you choose under “Remember me” how the add-in remembers the sign-in: “Remember me in your Microsoft account”, “Remember only on this device” or “Remember only for current session”. With “Remember me in your Microsoft account”, the sign-in applies on every device with this Microsoft account without signing in again.
Guest information
For the open email, the add-in looks for the guest by the sender address. If the guest is known in ReGuest, it shows their data and their requests, offers and bookings. “Open in Re:Guest” opens the guest in ReGuest.
Transfer message
“Transfer message” files the open email as a message from the guest in their conversation in ReGuest. If the guest does not exist yet, they are created in the process.
Detect and create a request
“Detect request” lets the AI read a request for a stay from the email. The “Request for stay” can be changed via “Edit”, and “Transfer request” creates the request in ReGuest.
Reply suggestion and text assistant
“Suggest answer” generates a reply to the open email. The suggestion can be changed in the editor and reworked with the text assistant. “Send via Re:Guest” files the reply in the guest's conversation, “Insert answer in Outlook” opens it in Outlook instead.
Categories
If the “Categories” switch is on, the add-in sets the category “Request” on an email in Outlook when a request was created from it, and “Message” when it was transferred as a message.
Settings
On the add-in's “Settings” page, each staff member sets under “Remember login” how the add-in remembers the sign-in, and with “Set as default” which stored instance code is preselected. There, “Delete stored profiles” removes all remembered sign-ins, and “Reset to factory settings” also removes the stored instance codes and the choice under “Remember login”.
