The Guests Archive shows all guests and persons the hotel knows. Here the hotel searches for a guest, creates new guests, imports guests from Excel and merges duplicate entries. Each guest has their own tabs, and the first one is “Main Data”.
All guests
The “all” tab is the guest list with the name and email address of every guest, the most recently created at the top. The “Name or email address” field searches the list, and a click on a guest opens their “Main Data” page.
Online Check-Ins
The “Online Check-Ins” tab lists the guests who have completed an online check-in in the guest area. Under “Filter”, the option “New online check-ins” shows only the guests whose online check-in has not been processed yet.
New guest
“New guest” opens the form for a new guest; under “Type of contact” the hotel selects “Person”, “Company” or “Family”. “Create” saves the guest, and then their “Main Data” page opens.
Data Import
The “Data Import” reads guests from an Excel file. Under “Assign columns” the hotel assigns a field to each column, corrects faulty rows in “Validate” and then starts the import with “Import”. Afterwards, a “Report” shows for each row what was imported.
Duplicates
Under “Duplicates” the hotel merges two entries of the same guest into one. Under “Guest who will be kept” and “Guest who will be deleted” it selects the two entries itself, and “Merge” transfers, for example, correspondence, conversations and notes to the guest who is kept and deletes the second entry.
Main Data
“Main Data” shows the guest's data such as “First name”, “Last name”, “Email address” and “Email marketing consent”, plus “Postal addresses” and “Phone numbers”. The hotel changes them in this tab.
Correspondence
“Correspondence” lists the guest's correspondences. An expanded correspondence shows its parts, such as request, offer and reservation, and “New message” sends the guest a message about it.
Notes
“Notes” collects the notes on the guest, including messages that were bookmarked under “Conversations”. “Add note” creates a free note, and a click on the note icon marks an entry as important.
Bookings
“Bookings” shows all of the guest's reservations with stay, room and status, newest first. The tab is read-only; “Go to reservation” opens the reservation.
Conversations
“Conversations” shows all messages with the guest in one list, newest first. You cannot reply here, only in the Messenger.
Profiling
“Profiling” shows the guest's tags, by which ReGuest groups guests, for example for campaigns. “Add...” assigns a tag manually; ReGuest also assigns many automatically.
Persons
“Persons” shows the guest's completed online check-ins with all fellow travellers and the additional email recipients under “Recipients”. “Send” transfers an online check-in to the property management system.
Outgoing Emails
“Outgoing Emails” shows everything ReGuest has sent to the guest, with type, time and delivery status. If a message has failed, “Resend email” queues it for sending once more.
Attachments
“Attachments” lists the guest's files, including the attachments of their emails and the documents from the online check-in. “Add attachments” uploads further files.
Other hotels
“Other hotels” searches for the guest by their email address at the other hotels the hotel is connected with in ReGuest. For each match, a card shows their data and their correspondences there, read-only.
Data Summary
“Data Summary” is used to answer a guest's request for information about their data. The “Summary” is a ready-made reply letter in the guest's language, and “Copy to clipboard” copies it.
Prerequisites
‘Guests Archive’ does not need a licence module of its own. With Guest Management, “Online Check-Ins” and “Profiling” are added. With Multi-Property, “Other hotels” is added.
Access to ‘Guests Archive’ is enabled for specific users through their role. The following need their own access in the role: “Data Import”. Roles are managed by ReGuest support.
