The “Outgoing Emails” tab of the guest record shows everything ReGuest has sent to a guest: offers, reservation confirmations and the other messages, by email and via WhatsApp. Here the hotel sees what was sent to the guest and when and whether sending worked, and it sends a failed message again. The tab is under Guests Archive › (guest) › Outgoing Emails.
Example: Resend an offer whose sending failed
Open the Guests Archive menu item and click the guest. The guest record opens.
In the tab bar of the guest record, open the “Outgoing Emails” tab. The newest dispatch is at the top.
Find the dispatch of the type “Offer” and read its status. If it says “sending failed”, the entry also names the reason, for example “Send error”.
Click “Resend email”.
Confirm the question “Are you sure you want to resend the email?” with “Resend”.
The message is then queued for sending once more, for the recipients for whom sending had failed.
The pages in detail
Outgoing Emails
The tab lists every dispatch to the guest, with no time limit and newest first. A new dispatch appears immediately. Each dispatch names its type, for example “Offer” or “Reservation Confirmation”. A message via WhatsApp carries the note “via WhatsApp”.
For each dispatch, the tab shows:
“Sent”: the time of the dispatch.
“Created by user”: who triggered the dispatch.
“Sender address” and “Recipient address”: from which address to which address it went.
“Recipient name” or “alternative email address”.
“Subject”, if the message has one.
“Size” and “Images/attachments size”: how large the message and its images and attachments are.
The tab never shows the text of the message itself.
The status of a message is one of these values: “not defined”, “ready for sending”, “being sent”, “sent”, “sending failed” or “skipped (not sent)”.
Whether the guest has opened something is shown by a hint when you hover over the entry:
“Platform opened” appears as soon as the guest has opened the link to the guest area.
“Message opened” only appears after a read receipt from WhatsApp, Facebook or Instagram.
If sending failed, the entry names the reason, for example “Send error”, “Non-delivery receipt”, “Duplicate email address”, “Not sent: guest is blacklisted” or “Not sent: no email address”. If a message was bounced, it says “The sent email was bounced for the following reason”, with the “NDR type”. The NDR type says whether it was a permanent error, a temporary error, spam, or “unknown”.
“Resend email” sends a failed message again. For a message via WhatsApp, the button is called “Resend WhatsApp message”. It appears as soon as one message of the dispatch has failed, and is only shown on the newest dispatch of the same offer or the same notification. After the confirmation question, it queues the message for sending once more, for the recipients for whom it had failed.
If the guest has not received any message yet, it says “No outgoing emails have been logged yet.”
Prerequisites
‘Outgoing Emails’ does not need a licence module of its own.
Access to ‘Outgoing Emails’ is enabled for specific users through their role. Roles are managed by ReGuest support.
Frequently asked questions
Can you read here what a message said? No. The tab shows the type, time, addresses, subject and size of a dispatch, never its text.
How far back does the list go? It has no time limit and shows every dispatch to the guest, newest first.
Why is “Resend email” missing? The button only appears if a message of the dispatch has failed. It is missing for a message that was only skipped, and also for a message via a messenger that was permanently undeliverable. If there is a newer dispatch for the same offer or the same notification, the button is only shown there.
Why is the “Outgoing Emails” tab missing? The tab belongs to the guest record in the Guests Archive. Both are only visible to a user whose role includes access to the Guests Archive. Roles are managed by ReGuest support.
