If a guest has been created twice in the Guests Archive, “Duplicates” merges the two entries into one. Correspondence, reservations, conversations and notes then belong to the guest who is kept, and the second entry is deleted. The menu item is under Guests Archive › Duplicates.
Example: Merge a guest who was created twice
Open the Guests Archive menu item and enter the guest's name in the “Name or email address” field. The guest list shows both entries, each with the name and the email address below it.
In the “Guests Archive”, click “Duplicates”. The “Merge duplicates” page opens.
In the search field under “Guest who will be kept”, enter at least two characters and select the entry whose master data should remain.
In the search field under “Guest who will be deleted”, select the second entry. Both guests are now shown side by side, with “Id”, “First name”, “Last name”, “Email address” and “Date of birth”.
Compare the two columns. If the guests are on the wrong side, a button swaps the guest who will be kept and the guest who will be deleted.
Click “Merge”. A confirmation prompt names the email address of the guest who will be deleted. Confirm with “Merge”.
The second entry is then deleted, and the “Main Data” page of the guest who was kept opens.
The pages in detail
Merge duplicates
On this page, two entries of the Guests Archive are merged into one guest. The page does not search for duplicates by itself: the user decides which two entries belong together.
A notice says that merging cannot be undone.
The “Guest who will be kept” column has a search field for the guest who remains. The search starts from two characters.
The “Guest who will be deleted” column has a search field for the guest who is deleted after the merge.
For both guests, the page shows “Id”, “First name”, “Last name”, “Email address” and “Date of birth” side by side. This lets you check before merging whether it really is the same guest.
A button swaps the two guests, so that the guest to be kept becomes the guest to be deleted and vice versa.
“Merge” merges the two guests. The button can only be clicked when two different guests are selected. Before merging, a confirmation prompt asks whether the data should really be merged, and names the email address of the guest who will be deleted.
When merging, the following are transferred to the guest who is kept: the correspondence with its reservations, the conversations, notes, persons, addresses, phone numbers, attachments and notifications, the consent log, the campaigns that list the guest as a recipient, and stored credit cards. The master data of the deleted guest is not transferred. Name, email address, date of birth and the consent status of the guest who is kept stay as they are.
Prerequisites
‘Duplicates’ does not need a licence module of its own.
Access to ‘Duplicates’ is enabled for specific users through their role. Roles are managed by ReGuest support.
Frequently asked questions
Does “Duplicates” find duplicate guests by itself? No. The page shows no suggestions, and there is no way to mark an entry as “not a duplicate”. Possible duplicates can be searched for in the guest list with the “Name or email address” field.
Can a merge be undone? No. The second entry is deleted afterwards. So compare the two columns carefully before “Merge”.
Which email address and which name remain? Those of the guest under “Guest who will be kept”. If the email address of the other entry should remain, select that entry as “Guest who will be kept”, or swap the two guests before “Merge”.
Why can “Merge” not be clicked? The button only works when two different guests are selected under “Guest who will be kept” and under “Guest who will be deleted”.
Why is the “Guests Archive” menu item or the “Duplicates” button missing? Both are only visible to a user whose role includes access to the Guests Archive. Roles are managed by ReGuest support.
