Conversations

The “Conversations” tab shows the messages from all of a guest's conversations in a single list. Here the hotel looks up what was discussed with the guest, and keeps individual messages as a note. The tab is under Guests Archive › (guest) › Conversations.

Example: Read a guest's email in full and keep it as a note

  1. Open the Guests Archive menu item and click the guest. The guest record opens.

  2. In the tab bar of the guest record, open the “Conversations” tab. The list shows the messages from the guest's conversations, the newest first.

  3. On the email you are looking for, click the channel label “via email”. The “Complete Email Text” dialog opens and shows the full text of the email.

  4. Close the dialog with “Close”.

  5. On the same message, click the note icon.

The message is then kept and appears in the “Notes” tab of the guest record.

The pages in detail

Conversations

The list shows the messages from all of the guest's conversations together, the newest first. If the guest has no message yet, the list shows “No messages yet”.

Each message shows the author's picture and name, the date and time, the channel and the text. The channel is shown as a label on the message, for example “via email”, “via WhatsApp®”, “via Facebook®”, “via Instagram®”, “via Web Messenger”, “via campaign” or “in reservation”. Messages from the hotel also carry an icon for the delivery status.

For an email, a click on “via email” opens the full text, if it is available. If the email had recipients in copy, they are listed under “Copy to”.

Attachments of a message can be downloaded. Before the download, the question “Are you sure that you want to download this potentially dangerous file?” may appear.

A click on the note icon of a message keeps it. Its tooltip reads “Remember message or notes”. A kept message appears in the “Notes” tab of the guest record.

The tab is for reading. Replying to the guest, or starting, opening or assigning a conversation, is only possible in the Messenger.

Complete Email Text

The dialog shows the full text of an email. It opens from the channel label “via email” on the message. “Close” closes the dialog.
