Bookings

The “Bookings” tab shows all of a guest's bookings in one place, with stay, room, status and the messages that were sent for the booking. The tab is under Guests Archive › (guest) › Bookings.

Example: Check whether a guest's booking is confirmed, and open it

  1. Open the Guests Archive menu item and click the guest. The guest record opens.

  2. In the tab bar of the guest record, open the “Bookings” tab.

  3. Read the header of the booking: it gives the booking date (“Reserved”), the “Stay” and the status in colour, for example “confirmed”.

  4. Under “Reservation Confirmation”, read the text of the confirmation that was sent for the booking.

  5. At the end of the booking, click “Go to reservation”.

The detail page of this booking then opens.

The pages in detail

Bookings

The tab shows all bookings from the guest's correspondence, the newest first and each one expanded. It is read-only. If the guest has no booking, the tab stays empty, without a hint.

The header of a booking gives the booking date (“Reserved”), the “Stay” and the status in colour. The status is “unconfirmed”, “confirmed”, “annulled”, “canceled” or waiting. A waiting status shows one of five labels: “waiting for deposit” (Angeld), “waiting for deposit” (Anzahlung), “waiting for credit card”, “waiting for deposit/CC” or “credit card received”. “credit card received” is shown as soon as a credit card or an online payment has been received. Otherwise the label depends on the type of guarantee. Whether it is the label for “Angeld” or for “Anzahlung” depends on the term the hotel uses.

Below that are “Offer/variation” or “Reservation/variation”, “People”, “Building/hotel” and “Room”. Then follow the price text the guest confirmed, and the messages for the booking with date and text:

  • “Reservation Confirmation” is above a confirmation sent for the booking: next to it the date and time, below it the full text of the confirmation.

  • “Cancellation” only appears if there is a cancellation message for the booking, and then shows the date and time of this message and below it its full text.

At the end of each booking, below the messages, are the buttons “Go to reservation” and “Go to proposal”. “Go to reservation” opens the detail page of this booking, and with Offers, “Go to proposal” opens the offer.

Prerequisites

  • ‘Bookings’ does not need a licence module of its own. With Offers, the “Bookings” tab is added. With Guest Management, the “Bookings” tab is added even without Offers. With Multi-Property, “Building/hotel” is added.

  • Access to ‘Bookings’ is enabled for specific users through their role. Roles are managed by ReGuest support.

Frequently asked questions

Can a booking be changed here? No. The tab is read-only. “Go to reservation” opens the detail page of the booking.

Why is the tab empty? The guest has no booking in their correspondence. The tab shows no hint about this.

Why does it say “credit card received” instead of another waiting status? A credit card or an online payment has been received for the booking.
