Attachments

The “Attachments” tab of the guest record collects a guest's files in one place: files the hotel has uploaded, email attachments from the guest's replies, files from WhatsApp, Facebook and Instagram, and documents from online check-in and check-out. Here the hotel downloads a guest's file and stores its own documents for the guest. The tab is under Guests Archive › (guest) › Attachments.

Example: Upload a document for the guest

  1. Open the Guests Archive menu item and click the guest. The guest record opens.

  2. In the tab bar of the guest record, open the “Attachments” tab. It shows the guest's files.

  3. Below the list, click “Add attachments...”. The “Add attachments” dialog opens in place of the list.

  4. Drag a PDF file into the dialog or choose it with “Select”. The file is then in the dialog's list, but it is not uploaded yet.

  5. Click “Upload”. A progress bar shows the upload; afterwards the file is listed under “Successfully uploaded files”.

  6. Click “Done”. The dialog closes, and the “Attachments” tab reloads its list.

The new file is then in the list under “Attachments”, with file name, size, the person who uploaded it, and the date.

The pages in detail

Attachments

The page lists the guest's files and shows the hint “Here you can find all file attachments of this guest user.” Deleted files are not in the list. A file from the online check-in only appears once the guest has submitted the online check-in. If the guest has no files, it says “There are no attachments saved for this guest user.”

Each row shows an icon, the file name with the size, who uploaded the file, and the date.

  • A click on the file icon downloads the file. For a potentially dangerous file, ReGuest first asks “Are you sure that you want to download this potentially dangerous file?”, and only “Download” downloads it.

  • “Delete”, the bin on a row, asks “Are you sure that you want to delete this file?”. Confirmed with “Delete”, an uploaded file or a document from check-in and check-out is deleted.

  • An email attachment shows an envelope icon instead of the bin and therefore has no “Delete”.

  • “Add attachments...” below the list opens the “Add attachments” dialog.

Add attachments

The dialog uploads files for the guest. It appears in place of the list. You add files to the dialog by drag and drop or with “Select”. In the dialog you can select PDF, JPEG, PNG, TIFF, ZIP, Word, Excel, PowerPoint and text.

Selected files first go only into the dialog's list and are not uploaded automatically.

  • “Upload” uploads all files in the list together, with a progress bar, and saves each one as an attachment of the guest. The button is active as soon as the list is not empty. Afterwards the files are listed under “Successfully uploaded files”, and “Select” is locked.

  • “Empty list” removes all files from the dialog's list and hides any error message that is shown. The button is active as long as there are files in the list that have not been uploaded yet. Attachments already uploaded remain.

  • “Abort upload” only appears during the upload and cancels it. The files stay in the list as not uploaded.

  • “Done” closes the dialog and leads back to “Attachments”, whose list is reloaded.

If an error occurs, the dialog shows “An error occurred during the upload process. Please try again later.”

Prerequisites

  • ‘Attachments’ does not need a licence module of its own.

  • Access to ‘Attachments’ is enabled for specific users through their role. Roles are managed by ReGuest support.

Frequently asked questions

Why is a file from the online check-in missing? A file from the online check-in only appears once the guest has submitted the online check-in.

Which files can be uploaded? In the “Add attachments” dialog you can select PDF, JPEG, PNG, TIFF, ZIP, Word, Excel, PowerPoint and text.

Why is “Select” locked? After the upload, “Select” is locked in the dialog. For further files, “Done” closes the dialog, and “Add attachments...” below the list opens the “Add attachments” dialog again.

Why can't a colleague see the “Attachments” tab? The “Attachments” tab depends on access to the Guests Archive: only a user whose role includes this access sees it. Roles are managed by ReGuest support.
