The guest list in the Guests Archive shows all guests and persons of the hotel. Here the hotel searches for a guest by their name, email address or phone number and opens their “Main Data” page. The list is under Guests Archive, in the “all” tab.
Example: Find a guest by their email address
Open the Guests Archive menu item. In the “all” tab, the most recently created guests are at the top; without Guest Management, the list appears without tabs.
Enter the guest's email address in the “Name or email address” field. A single word with “@” searches only the email addresses.
Click the guest in the list.
The “Main Data” page of this guest then opens.
The pages in detail
Guest list
The guest list shows the name of each guest and the email address below it. A first dot shows the guest's online status. If there are important notes about the guest, it says “There are important notes for …”. Below the name it says “–” if the guest has no email address. The same applies if their “Type of contact” is “email address”. A second dot shows that the guest is on the block list for email marketing. Deleted guests are not in the list.
When you scroll, the list loads more guests.
The “Name or email address” field searches the list:
With several words, every word must appear in the name or in the email address.
A single word with “@” searches only the email address.
An entry made only of digits, “+” and spaces searches the phone numbers.
At most 50 characters and 4 words are used.
In the “all” tab, a click on a guest opens their “Main Data” page. The “Online Check-Ins” tab next to “all” lists the guests who have completed an online check-in in the guest area.
Guests Archive
If no guest is selected, the Guests Archive shows the “Guests Archive” overview. The action bar of the Guests Archive has these buttons:
“Info” leads back to the “Guests Archive” overview without a selected guest.
“New guest” opens the “New guest” page.
“Data Import” opens the “Data Import” page with the list of import files.
“Duplicates” opens the “Merge Duplicates” page.
Prerequisites
‘All guests’ does not need a licence module of its own. With Guest Management, the “all” and “Online Check-Ins” tabs are added above the guest list.
Access to ‘All guests’ is enabled for specific users through their role. The following need their own access in the role: “Data Import”. Roles are managed by ReGuest support.
Frequently asked questions
Can a guest be found by their phone number? Yes. An entry made only of digits, “+” and spaces in “Name or email address” searches the phone numbers.
Why does the search not find a guest? With several words, every word must appear in the name or in the email address, and only 50 characters and 4 words are used. A single word with “@” searches only the email address. The search does not find deleted guests. In that case, search in the “Name or email address” field with at most 4 words, or only with the email address.
What does “–” below the name mean? The guest has no email address, or their “Type of contact” is “email address”.
Why are there no tabs above the list? The “all” and “Online Check-Ins” tabs come with Guest Management. Without Guest Management, there are no tabs above the guest list, only the “Name or email address” field and the list. ReGuest support can tell you whether online check-in is set up for the hotel.
Why is “Data Import” missing? The button only appears if the user's role includes access to it. Roles are managed by ReGuest support.
Why is the “Guests Archive” menu item missing? Only a user whose role includes access to the Guests Archive sees it. Roles are managed by ReGuest support.
