A wishlist is a questionnaire in which the guest states their wishes for the stay before arrival, for example about sleeping comfort, diet, children or pets. “Wish List Submissions” shows the wishlists that guests have submitted, with their answers. The hotel needs the list to read what the guests wish for before their arrival. The menu path is Reservations › Wish List Submissions.
Example: Read the guests' wishes before arrival and mark them as done
Open “Wish List Submissions”. Under Reservations › Wish List Submissions, the list opens. At first it shows the submitted wishlists of the guests arriving between today and three days from now, sorted by arrival date.
Click a row. The answers of this guest appear next to the list: one row per question with “Question” and “Answer”, plus the “General notes” field.
Switch to the reservation. “Go to reservation” opens the reservation detail.
Open the “Wishlist” tab. The reservation's “Wishlist” tab shows the same answers, plus “Filled in” and the status “Sent”.
Mark as done. “Set to done” sets the notification that belongs to this wishlist to done.
Result. The “Wishlist” tab now shows “Change back to open”. The wishlist itself keeps its status “Sent”.
The pages in detail
Wish List Submissions
The list shows only submitted wishlists, one row per wishlist, sorted by arrival date. A wishlist that the guest has started but not submitted is not in it.
Filters.
“Arrival” filters by arrival date. The default is the period from today to three days from now.
“Guest name” shows only the wishlists of the guest with this name.
“All facilities/hotels” appears only with the licence module Multi-Property and filters by facility.
Columns. The list shows “Status”, “Arrival”, “Guest”, “Facility/Hotel” and “Filled in”. “Facility/Hotel” appears only with the licence module Multi-Property.
Going on from a row. Clicking a row opens the answers next to the list and marks the notifications of this wishlist as read.
Where the entries come from. The guest receives the wishlist with a pre-stay message. On the guest page of the pre-stay message they see the “Your wishes in advance” block with “To the questionnaire”, and in the Messenger the “Wish list” action. Their answers are saved continuously. Only “Submit wishlist” completes the questionnaire, and only then is the wishlist in the list. After that, the guest can no longer change their answers.
The hotel sets which questions the questionnaire asks under Settings › Wishlist. Guests see the questionnaire only if the wishlist has the status “Active” there.
Answers next to the list
After a click on a row, the page shows the guest's answers next to the list, each question with “Question” and “Answer”. “General notes” shows what the guest wrote in the “General notes” field of the questionnaire. “Go to guest” opens the guest, “Go to reservation” the reservation detail.
“Wishlist” tab of the conversation and the reservation
A conversation and a reservation each have a “Wishlist” tab. It shows the same answers as the list, with “Question”, “Answer” and “General notes”, plus “Filled in” and the status of the wishlist: “Data entry” as soon as the guest has opened the questionnaire, “Sent” after “Submit wishlist”.
“Set to done” sets the notification that belongs to the submitted wishlist to done. “Change back to open” sets it back to open. These two buttons do not change the status of the wishlist. Afterwards, the tab shows the other of the two buttons.
If the hotel works with Protel I/O, “Send” appears as long as no transfer has the status “processed”. It sends the answers as a note to the reservation in the hotel software; in Protel this note is called “Trace”.
Below the answers are the transfers to the hotel software, with “Date/time transaction”, “Service”, “triggered by”, “Status” and “transaction time”. Their status is “Transferring data...”, “processed”, “failed” or “partially transm., check necessary”.
Window for a new wishlist
When a guest submits their wishlist, a notification is created. Users who have subscribed to “Wishlist submissions” receive it. In addition, a window with “To the wishlist” appears for every user whose role allows access to reservations. “To the wishlist” opens the guest's conversation with its “Wishlist” tab.
Prerequisites
‘Wish List Submissions’ belongs to the licence modules Offers and Upseller. With Multi-Property, the “All facilities/hotels” selection and the “Facility/Hotel” column are added.
If the module is licensed, access to it is enabled for specific users through their role. Roles are managed by ReGuest support.
Frequently asked questions
Why is the “Wish List Submissions” menu item missing? The list only appears with the licence module Upseller and only if the user's role allows access to reservations. ReGuest support can tell you whether Upseller is set up for the hotel. Roles are managed by ReGuest support.
Why is a guest's wishlist not in the list? The guest has not submitted it yet, or their arrival is outside the period in the “Arrival” filter. If a different period is chosen in “Arrival”, the list also shows the wishlists of those arrivals.
Why do guests not fill in a wishlist? Guests see the questionnaire only if the wishlist has the status “Active” under Settings › Wishlist and the pre-stay message belongs to a confirmed reservation. The hotel sets the status “Active” under Settings › Wishlist.
Can a guest change their answers after submitting? No. They can only view their answers and contact the hotel directly for changes.
Can the list be exported or printed? No. The list has neither an export nor a print function, and the column headers do not sort.
