Travel insurances

“Travel insurances” shows the travel insurance contracts that guests have concluded or started for their reservations. The hotel needs the list when it wants to download a guest's policy or go from a contract to the reservation, for example to conclude, cancel or remove it there. The menu path is Reservations › Travel insurances.

Example: Download a guest's policy

  1. Open “Travel insurances”. Under Reservations › Travel insurances, the list opens. At first it shows the contracts of the last 30 days until today.

  2. Filter by the guest. Enter the guest's name in the “Guest name” field. The list now shows only their contracts.

  3. Open the policy. The contract's row shows the policy number in the “Policy number” column. Click the number to open the policy for download.

  4. Result. The guest's policy is ready for download.

The pages in detail

Travel insurances

The list shows one row per contract.

Filters.

  • The field for the period, which has no label, limits the list to a period. The default is the last 30 days until today.

  • “Guest name” shows only the contracts of the guest with this name.

  • “Status” narrows the list down further.

Columns. The list shows “Date”, “Guest”, “Product/code”, “Insurance premium”, “Policy number”, “ReGuest reference” and “Status”.

  • Where there is one, the number in “Policy number” opens the policy for download. If it is missing, the offer number is shown in its place.

  • A cancelled contract is greyed out and shows “Canceled”.

Going on from a row. Clicking the date in the “Date” column opens the reservation, clicking the name in the “Guest” column opens the guest.

Where the contracts come from. With Marketplace › Travel insurance, the guest adds an offer from ERV to their reservation in the guest area, as long as the reservation is not a direct booking. The contract is then at “Offer created”. When the guest confirms the insured persons, the contract is at “Contract is ready”. When they then confirm the insurance information, the contract is at “Ready for payment”. After the online payment, the contract is concluded and is at “Concluded and paid”, or at “Conclusion failed” if there is an error. Until the online payment, the guest can remove the offer again. With Marketplace › External travel insurance, the guest area shows only a summary. The contract is then created after a successful payment through the Hogast widget and is at “Concluded and paid” straight away.

“Travel insurance” section of the reservation

Clicking the date in the list opens the reservation with the “Travel insurance” section. It shows “Insurance company”, “Product/code”, “Policy number”, “Offer number”, “Insurance premium” and “ReGuest reference”.

Only here, not in the list, are there three buttons. Each one asks for confirmation first.

  • “Conclude contract” concludes the contract. The button appears only if ERV collects payment through the hotel, and only at “Ready for payment”.

  • “Cancel contract” cancels a concluded contract. For a contract with ERV, this is only possible as long as the premium has not been paid to a third party. ReGuest can never cancel a contract with Hogast.

  • “Remove contract” deletes a contract with ERV that has not been concluded yet.

What ReGuest does by itself. If a reservation is cancelled, ReGuest removes a contract with ERV that has not been concluded yet. If the online payment for an ERV travel insurance is cancelled, the contract is cancelled as well.
