Online Payments

“Online Payments” shows the payments that guests made or attempted online, with amount, purpose and result. The hotel needs the list when it wants to know whether a deposit or an invoice has been paid, or whether a payment ended with “Abort” or “Failure”. The menu path is Reservations › Online Payments.

Example: Check whether a guest has paid their deposit

  1. Open “Online Payments”. Under Reservations › Online Payments, the list opens. At first it shows the payments of the last 30 days until today, the oldest first.

  2. Filter by the guest. Enter the guest's name in the “Guest name” field. The list now shows only their payments, including those with “Abort” or “Failure”.

  3. Read the row. If the “Purpose” column says “Deposit” and the “Result” column says “Success”, the guest has paid the deposit successfully. The “Amount” column shows how much the guest paid. If the “Result” column says “Abort” or “Failure”, this attempt did not work.

  4. Switch to the reservation. Clicking the date in the “Date” column opens the reservation.

  5. Result. The reservation detail is open. The successful payment for the deposit has changed the payment status of this reservation.

The pages in detail

Online Payments

The list shows one row per payment, sorted by the date of the payment, the oldest first. The column headers do not sort. There is no separate detail page for a payment.

Filters.

  • The field for the period, which has no label, filters by the date of the payment. The default is the last 30 days until today.

  • “Guest name” shows only the payments of the guest with this name.

  • “Status” filters by the result of the payment: “Success”, “Abort” or “Failure”. Without a value, the list shows all payments.

Columns. The list shows “Date”, “Guest”, “Amount”, “Purpose”, “Reference”, “Transaction n.”, “Card details” and “Result”.

  • “Purpose” says what the guest paid for: “Deposit”, “Travel insurance”, “Invoice”, “Authorization” or “Deposit and travel insurance”.

  • The “Deposit” and “Travel insurance” columns appear only with the licence module Marketplace › Travel insurance and show the shares of a payment.

  • “Result” shows “Success”, “Abort” or “Failure”.

A cancelled payment is greyed out.

Going on from a row. Clicking the date opens the reservation, clicking the name in the “Guest” column opens the guest. A payment cannot be cancelled or processed in the list, only in the reservation detail.

Where the payments come from. The guest pays in the guest area, on the pages for the deposit, the booking confirmation, the reservation and the check-out. Payment is made through the payment provider that is set up for the hotel. A successful payment for the deposit or the check-out changes the payment status of the reservation.

Transfer to the hotel software. If the hotel works with Apaleo, Mews or Casablanca, ReGuest transfers the successful, non-cancelled deposits there every five minutes.

Window “New online payment”

When a guest pays a deposit or a check-out, the author of the offer receives a notification, only once per reservation. For the deposit on a direct booking, no notification is sent, unless the hotel's settings require it. In addition, the window “New online payment” appears for every user whose role allows access to reservations. It leads to the reservation. By e-mail, the notification goes to every user who has subscribed to “Deposit payments” or “Check-out payments”.

Prerequisites
