Variable Costs

“Variable Costs” shows how many WhatsApp messages the hotel has sent and received and what they cost. The costs of the outgoing messages are broken down there by the WhatsApp conversation category, by the type of message and by the recipient's country. The menu item is under Analytics › Variable Costs.

Example: Check which messages caused the most WhatsApp costs last month

  1. Under “Analytics”, open the “Variable Costs” entry. The “Whatsapp messages” page in the “Whatsapp” tab appears. The “Period” runs from the same day last month to today.

  2. In the “Messages” box, read the “Total costs”, together with the number of “Incoming messages” and “Outgoing messages”.

  3. In the “Outgoing messages by type” list, read the first row. The list is sorted by “Cost” in descending order, so the type of message at the top, for example offer or booking confirmation, is the one that cost the most in the period.

  4. In the “Outgoing messages by country” list, read which countries account for the largest part of the costs.

The hotel then sees what WhatsApp cost last month and which types of messages and which countries make up the largest part of it.

The pages in detail

Whatsapp messages

The page in the “Whatsapp” tab counts the hotel's WhatsApp messages and their costs. The page shows the note “The data shown may be updated daily and are only final 30 days after the message was sent.”

  • “Period” limits the messages. The preset range runs from the same day last month to today, and the last selected day counts in full. A date earlier than 1 January 2025 cannot be selected.

  • “All facilities/hotels” limits the messages to one building. The filter appears only with Multi-Property.

  • The “Messages” box shows the “Total costs”, the number of “Incoming messages” and the number of “Outgoing messages”.

Below it are three lists, each with a chart. They count only outgoing messages, show “Count” and “Cost”, and are sorted by cost in descending order. A list without data does not appear.

  • “Outgoing messages by conversation category” divides the messages by the WhatsApp conversation category, for example “Marketing” or “Service”.

  • “Outgoing messages by type” divides them by the type of message in ReGuest, for example offer, booking confirmation or campaigns.

  • “Outgoing messages by country” divides them by the recipient's country. If no country is known, it says “Unknown country”.

There is no export or way to copy the figures on this page.

The Dashboard also leads to this page: the “WhatsApp statistic” tile shows “incoming messages”, “sent messages” and “costs for messages”, and a click on it opens “Variable Costs” with the last 30 days.

Frequently asked questions

Why is the “Variable Costs” menu item missing? The menu item exists only with the licence module listed under “Prerequisites”. Only a user whose role includes access to it sees it. ReGuest support can tell you whether the licence module is set up for the hotel. Roles are managed by ReGuest support.

Why are yesterday's WhatsApp messages missing? An outgoing message appears at the earliest 30 hours after it was sent. The figures are final only 30 days after sending, as the note on the page says.

Why does the page show no figures although the hotel sends WhatsApp messages? Messages before 1 January 2025 never count. ReGuest support can help further.

Can the costs be downloaded? No. “Variable Costs” has no export and no way to copy the lists.
