Manage Request Sources

“Manage Request Sources” defines which sources and campaigns exist and by which source codes a request is assigned to a channel, a source and a campaign. This determines how the report under Analytics › Request Sources counts the requests. The menu item is under Analytics › Manage Request Sources.

Example: Assign requests with unknown source codes to a new source

Requests bring source codes with them, for example from the request form, from links in Sales Campaigns newsletters or from imports from PMS and booking portals.

  1. Open Analytics › Manage Request Sources.

  2. Open the “Not assigned source codes” tab. The list shows the combinations of source codes for which there is no detection rule, sorted by their “Count”.

  3. In the row of the combination you are looking for, click “Create rule”.

  4. Under “Advertising channel”, select the channel the requests come from.

  5. Click “New source...” and enter a name under “Name of the new source”, for example the name of the portal.

  6. Click “Create”.

The rule then immediately assigns all existing communications with exactly these source codes to the channel and the new source. The new source appears in the list in the “Manage Request Sources” tab.

The pages in detail

The tab bar has four tabs: “Manage Request Sources”, “Campaigns for Request Sources”, “Detection rule” and “Not assigned source codes”. In the “Manage Request Sources” tab, “Add” in the tab bar opens the empty “New source” form; in the “Campaigns for Request Sources” tab, it opens the empty “New campaign” form.

Manage Request Sources

The tab lists each source with “Source name”, “Channel”, “Created on” and “Created by”. The filters “Source name” and “All channels” narrow down the list.

ReGuest comes with its own sources, for example for the major search engines, review and booking portals and social networks. A lock marks them, and their name cannot be changed.

Create or edit a source

  • “Source name” and “Channel” are both required. A name may occur only once in the same channel. Channels that do not accept a source, for example phone or walk-in, are missing from the selection.

  • “Create” creates a new source, “Save” saves the changes to an existing one.

  • “Detection rule” lists the rules of this source. If it has none yet, it shows “No detection rules exist yet for this source.” “Add detection rule” creates a new rule for the source.

  • “Delete request source” removes the source from the list after the confirmation question “Are you sure you want to delete the request source?”

Campaigns for Request Sources

Campaigns are names that a detection rule assigns to a communication. The tab lists them with “Campaign name”, “Created on” and “Created by”, narrowed down with the “Campaign name” filter.

Create or edit a campaign

The form is called “New campaign” or “Edit campaign”. Enter its name in the “Campaign” field. “Create” creates it, “Save” saves a change. Under “Detection rule”, “Add detection rule” creates a rule for the campaign.

Detection rule

A detection rule assigns source codes to a channel and, optionally, also to a source and a campaign. “Add detection rule” opens the form for a new rule.

  • The three fields for the source codes define which codes the rule checks. Two of them are under “Advanced options”. An empty field stands for “all values”; at least one must be set.

  • “Advertising channel” selects the channel and is initially set to “Please select”.

  • “Request source” selects the source. For the channels Social Media, OTA and Social Media (paid), the rule needs one.

  • “Campaign (optional)” selects the campaign. It can only be set once a source is selected, and only for channels that support campaigns.

  • “New source...” and “New campaign...” create a source or campaign directly in the rule, under “Name of the new source” or “Name of the new campaign”.

  • “Create” creates the rule, “Save” saves a change.

If a rule with exactly the same codes already exists, the form reports “A rule with exactly this combination of keywords already exists for the source” and asks “Do you want to replace the existing rule with yours?”

If several rules match, the most precise one applies. A rule with a campaign takes precedence over a rule with a source, and a rule with a source takes precedence over a rule with only a channel. If two rules are equally precise, the newer one applies. If none matches, built-in patterns make the assignment, for example for paid search, social networks and the names of major booking portals.

A new rule immediately reassigns all existing communications with exactly these codes. A changed or deleted rule only takes effect after about ten minutes. No rule changes communications whose source a staff member set by hand. A rule marked “deactivated” does not assign any communications.

Not assigned source codes

The tab lists the combinations of source codes for which there is no detection rule, sorted by “Count”. “Create rule” opens the “Add detection rule” form for a row.

“Retroactively and automatically assign request sources” reassigns all communications after a confirmation question. “Last execution” and “Next execution” show when this assignment last ran and when it runs next.

Prerequisites

  • ‘Manage Request Sources’ does not need a licence module of its own.

  • Access to ‘Manage Request Sources’ is enabled for specific users through their role. The following need their own access in the role: “Add”, “Add detection rule”, “Delete request source” and “Retroactively and automatically assign request sources”. Roles are managed by ReGuest support.

Frequently asked questions

Why is the “Manage Request Sources” menu item missing? Only a user whose role includes access to it sees the menu item. Roles are managed by ReGuest support.

Why is “Add detection rule” missing? Only a user whose role includes its own access to it sees this button. Roles are managed by ReGuest support.

Why can't the name of a source be changed? The source is one of the sources that ReGuest comes with. It carries a lock, and its name stays fixed. ReGuest support can help further.

Why is a channel such as phone missing from the selection for a source? This channel does not accept a source. ReGuest support can help further.

Why does nothing change at first after editing a rule? A changed or deleted rule only takes effect after about ten minutes. A new rule takes effect immediately.

Why are today's figures missing under Analytics › Request Sources? The figures there are recalculated once a day, at night. The current day therefore usually only appears on the next day.
