A task records an event that someone in the hotel should react to, such as a guest message, a new request or a completed online check-in. It is open or done. The list shows every task with its status. In the opened task, a button such as “To conversation” or “To request” leads to the related place. The tasks are in the Dashboard menu item.
Example: Check and complete a finished online check-in
Open the Dashboard menu item to see the overview page. Click the “Task” tab to show the tasks; if none is selected, the first one in the list opens.
The task list is on the left. By default it shows the open tasks of the last week: “Open” and “1 week”.
Click the task for the online check-in to open it. It shows “Sent on”, the “Task status” and, under “Status changes”, every change so far.
At the top, the “To online check-in data” button leads to the online check-in data.
After the check, click “Set to done” in the opened task to complete it.
The “Task status” now shows “done”, and “Status changes” lists the change together with the user and the time.
The pages in detail
“Dashboard”, task list
Each row starts with a symbol for the type of task, followed by the title, usually the guest's name, and the creation date. Status symbols are on the right:
a car for a request, whose colour shows how close the arrival is,
a symbol with the hint “not verified” for a conversation that is not verified,
a tick for done or an exclamation mark for open,
a dot for the guest's online status,
the abbreviation of the property.
You filter with the following fields. The selection fields have no heading; they only show the selected value:
Search field “Notifications/tasks”: searches the guest's name and the email address.
Property: “all” or one property. The field only appears if the hotel has properties.
Status: “All”, “Open” or “Done”. The default is “Open”.
Period: “1 week”, “1 month”, “6 months” or “∞”. The default is “1 week”.
Sort order: “Ascending” or “Descending”. The default comes from the personal setting “Shows notifications list items in descending chronological order”.
When you scroll, the list loads more tasks, 25 at a time. The list reloads when a task changes that is not yet in the list and matches the selected filter of the “Tasks” column. If further pages are already loaded, a symbol with the hint “Reload” appears instead. A click on it reloads the list with the selected filters and shows the first 25 tasks again.
“Tasks” column to the left of the list
The “Tasks” column to the left of the list narrows the list down by assignment. A click on an entry filters the task list to that entry:
“My tasks” shows the tasks assigned to your own user.
“Not assigned” shows the tasks without an assignment.
“All” shows all tasks.
“Teams” lists the teams; a click on a team shows its tasks.
“Accounts” lists the other users; a click on a user shows their tasks. If you select the AI user here, you see the completed tasks of the last month, the newest first.
Whether the column appears depends on whether task assignment is set up for the hotel; ReGuest support can tell you.
Dashboard navigation
The navigation at the top has the tabs “Dashboard” for the overview page and “Task” for the tasks.
“Task”, the opened task
The opened task shows “Sent on”, “Recipient” for a named recipient, the “Task status” and “Creator of the assignment”. For a conversation, the “Conversation history” is added.
At the top, depending on the type of task, a button leads to the related place, for example “To conversation”, “To request”, “To reservation”, “To reservation confirmation”, “To the booked services”, “To direct booking”, “To the guest”, “To data protection delete task”, “To non delivery report”, “To online check-in data”, “To the wait list entry”, “To the wishlist” or “To post-stay rating”.
“Set to done” completes the task, “Change back to open” reopens it. Both are then listed under “Status changes”. If the task is assigned to someone, the assignment is also marked as done or reopened. A task that is done also counts as read. Anyone who sees the task may change its status.
If the task comes from an interface transfer, the hotel selects a variant before taking over the data. If the transferred data no longer provide a title, the task is called “Not available anymore”.
For a task from an interface transfer, “Delete import data” permanently removes the transferred data after a confirmation prompt and hides the task from all lists. The button only appears if the user's role includes access to it.
“Symbols Key”, dialog from the user menu
The “Notifications” tab of the “Symbols Key” explains the symbols for the type of task that appear at the front of every row in the list.
Prerequisites
‘Tasks’ does not need a licence module of its own. With Offers, the “To request” button is added to a task about a request. With CRIS Chatbot, the AI user is added under “Accounts” in the “Tasks” column.
Access to ‘Tasks’ is enabled for specific users through their role. The following need their own access in the role: “Delete import data” and the tasks that are not assigned to the user themselves or to one of their teams. Roles are managed by ReGuest support.
Frequently asked questions
Why does a staff member see fewer tasks than a colleague? If their role does not include all tasks, the list only shows tasks assigned to them or to one of their teams. Roles are managed by ReGuest support.
Why is an older task missing? The period is set to “1 week”, “1 month” or “6 months”. With the period “∞”, the list also shows older tasks.
Why is a task done although nobody did anything? Some tasks complete themselves: a request as soon as an offer is created for it or a rejection is sent, a conversation as soon as the hotel replies or a matching CRIS rule completes it, and an interface transfer as soon as it has been processed. “Change back to open” reopens the task.
Why is a data-protection deletion request visible to only one person? This type only appears in the list of its recipient, the person who created the deletion request.
Are old tasks deleted at some point? No. Completed tasks remain, and the list grows. The period and the status narrow down what it shows.
Why is there only one task for several messages from a guest? Further messages in the same conversation do not create a new task within one hour, as long as the existing one is unread.
Why is a completed interface task open again? If the same transfer arrives again before it has been processed, the existing task becomes open and unread again.
