Notifications

A notification reports an event that someone at the hotel should react to: a guest writes, a request or booking comes in, a payment arrives. The bell icon in the header counts the unread, open tasks, and “To list” in its drop-down menu leads to the Dashboard with the task list, where the tasks are filtered, opened and completed. The path is Header › Bell icon. Users who are not signed in can also receive the same messages by e-mail.

Example: Handle a new guest message through the bell icon

  1. In the header, there is a number on the bell icon: a guest has written to the hotel, and a task has been created from it without anyone doing anything. When it arrives, a notice appears for eight seconds.

  2. Click the bell icon to open the drop-down menu under the heading “Your unread tasks to be processed”. It shows up to 20 open, unread tasks, the newest first.

  3. “To list” leads to the Dashboard with the task list.

  4. Click the task in the task list to open it. At the top, “To conversation” leads to the conversation with the guest.

  5. The hotel replies in the conversation. This completes the task by itself.

  6. The completed task no longer counts on the bell icon. If nothing is open any more, a tick appears instead of the bell icon, and the drop-down menu shows “No unread messages”.

The pages in detail

Drop-down menu of the bell icon

The number on the bell icon counts over the entire period, regardless of the filters of the task list. A completed task also counts as read and therefore drops out of the number.

If there is nothing to do, it says “No unread messages”. When a new task arrives, the number and the drop-down menu are reloaded.

Only for three types does opening a task already mark it as read: for a post-stay rating, for an assigned task and for a conversation. For a conversation, this depends on the “Set conversations as read in task preview” switch. Only its recipient marks a task as read; if it has no recipient, anyone who opens it does.

User menu › “Preferences”, “Options” tab

What is set here applies only to the individual user. The switch “Show the list of notifications in descending order” determines the direction in which the task list is sorted. The sorting can be changed in the list itself at any time to “Ascending” or “Descending”.

User menu › “Preferences”, “Offline-Messages” tab

Under “Offline notifications via e-mail”, each user sets whether they also receive the tasks by e-mail. If the hotel offers reports, the tab is called “Offline-Messages and reports”.

  • “Selection of elements” has three values: “Not active” sends no e-mail, “Receive all notifications” sends all types, and “Receive selected notifications” sends only the types whose switch is on.

  • The switches per type are “Messenger messages”, “Requests”, “Reservation requests”, “Credit card data”, “Deposit payments”, “Booked additional services”, “Check-out payments”, “Pre-check-ins”, “Wishlist submissions” and “Post-stay ratings”.

  • “Receive notification for” limits the e-mail: “All tasks”, “Only assigned tasks (to the user or their team)” or “Assigned (to the user or their team) and all unassigned tasks”.

The e-mail goes only to a user who is not signed in at the moment, and not at all before 7 a.m. It summarises the tasks of the last 48 hours, grouped by type. Each task states whether it is “Assigned directly to you”, “Assigned to one of your teams” or “Not assigned”, and for a message, the beginning of the last guest message. No task is included twice, and none that the user has already read.

If another user with the same e-mail address has already switched the e-mail on, it cannot be switched on. It then says “The option cannot be activated because there is another user with the same e-mail address who has activated the option.”

Settings › “Collaboration” › “Rules”, “Additional options” box

The “Set conversations as read in task preview” switch decides whether merely opening a task for a conversation marks it as read. If it is on, the task drops out of the number on the bell icon as soon as it is opened. If it is off, it keeps counting until it is read or completed.

Prerequisites

  • ‘Notifications’ does not need a licence module of its own. With Offers, the “To request” button is added to a task for a request.

  • Access to ‘Notifications’ is enabled for specific users through their role. Separate access in the role is needed for: the tasks that are not assigned to the user themselves or to one of their teams. Roles are managed by ReGuest support.

Frequently asked questions

Why does the number on the bell icon not match the task list? The bell icon counts all unread, uncompleted tasks over the entire period. The list shows only what matches the period, status and search term that are set. If the period there is set to “1 week”, “1 month” or “6 months”, older tasks are missing; “∞” shows all.

Why does the bell icon show 99+ instead of the exact number? With 100 or more tasks, the bell icon can show 99+. ReGuest support can tell you whether this is set up for the hotel. The icon in the browser tab always shows 99+ once there are 100 or more.

Why does the bell icon show a lower number for one employee than for a colleague? What a user sees depends on their role. If their role does not include all tasks, the bell icon counts only tasks that are assigned to them or to one of their teams. Roles are managed by ReGuest support.

Why is the bell icon missing altogether? The bell icon appears only if the user's role includes access to it. Without it, the Dashboard menu item is missing as well. Roles are managed by ReGuest support.

Why has a task disappeared from the bell icon without anyone doing anything? Some tasks complete themselves: a request as soon as an offer is created for it or a rejection is sent, a conversation as soon as the hotel replies or a matching CRIS rule completes it, and an interface transfer as soon as it has been processed.

Why does no e-mail arrive? The e-mail goes only to users who are not signed in at the moment, and not before 7 a.m. A task that has already been read or already been e-mailed is not sent again, and tasks from interface transfers are never e-mailed. If “Selection of elements” is set to “Receive selected notifications”, only the types whose switch is on are sent.

Why does a guest write several times, but there is only one task? Further messages in the same conversation do not create a new task within one hour, as long as the existing one is unread.
