Clickable counters

The clickable counters are at the top of the dashboard, in the boxes “Requests”, “Proposals”, “Messenger”, “Reservations”, “Online check-in” and “Online check-out (departures today and tomorrow)”. A click on a number opens the matching, already filtered list. The counters are in the Dashboard menu item, the start page of the back office.

Example: Find reservations with an expired deposit deadline

  1. In the main menu, open Dashboard. The counters are freshly calculated when the page opens.

  2. In the “Reservations” box, the number “new reservations” is at the top; below it are, among others, “with open deposit/CC” and “with due deposit deadline”.

  3. Click the number next to “with due deposit deadline”. The reservation list opens, filtered to exactly these reservations.

The pages in detail

Header of the “Dashboard” page

The page title depends on how the hotel is set up, and reads, for example, “Overview of Current Proposals and Reservations” or “Overview of Current Messages”. “Reload” recalculates all counters. The numbers do not update by themselves: they are created when the page opens and on “Reload”.

“Requests” box

The box shows “open requests”, split by arrival date: “with arrival within 48 h”, “with arrival within 2 to 7 days”, “with arrival > 7 days” and “with overdue arrival date”. If a guest requests several periods, the latest arrival date counts. A click on the large number opens the list of communications, a click on a row the same list, filtered by arrival date.

“Proposals” box

“proposals in process” counts proposals that are currently being entered, selected, edited or checked before sending. Each number in the box opens the list of communications with the matching status.

“Top … open proposals” list

The list shows up to ten negotiated proposals with a future arrival, ordered by the highest price, with the columns “Guest”, “Arrival” and “Amount”. It only appears when there are at least three such proposals. The arrow in a row opens the proposal.

“Messenger” box

If the Website Messenger is active, the box splits “new messages” into “from verified guests” and “from unverified users”. A click on the large number opens the conversations. A click on “from verified guests” or “from unverified users” opens only these conversations.

“Reservations” box

The box shows “new reservations” and, in addition, “with open deposit/CC”, “with due deposit deadline”, “with credit card to confirm” and “with open guest confirmation”. The last row only appears if the hotel requires the guest to confirm the price and there are such reservations. Each number opens the reservation list with exactly this filter.

“Online check-in” box

“New online check-ins” counts guests who have completed their online check-in and whom nobody has processed yet. A click opens the new online check-ins in the guest archive.

“Online check-out (departures today and tomorrow)” box

The box counts confirmed reservations with departure today or tomorrow. The large number gives the “Online check-outs to send”; below it are “waiting for payments”, “Payments done”, “Payments cancelled” and “Payments on site”. Each number opens the departures of these two days with the matching payment status.

“Bulk Processing” box

The box shows how many imported reservations are ready: “# reservations are ready for import”, where # stands for the number. “Process imported reservations” opens the “Reservation Import” page.

“Reservation Import” page

The page processes the imported reservations in three steps:

  1. At the top are the imported reservations of the last seven days, all already selected. If an entry needs a decision, the row asks a question with one button per answer.

  2. Next, the language is selected under “Language” and the proposal template under “Template”. In this step, the page shows only the proposals from the imported reservations that the logged-in user created. Selecting the language marks all proposals in this language.

  3. “Next” creates a reservation from each marked proposal, without an e-mail to the guest. If there is a warning for an import, it remains a proposal in process; the row then shows “Was created as a proposal (step 2) because of the warning”.

When everything is done, it says “All imported reservations have already been processed.”

Prerequisites

  • ‘Clickable counters’ belongs to the Offers licence module. With Guest Management, the boxes “Online check-in” and “Online check-out (departures today and tomorrow)” and the row “with credit card to confirm” are added. With Channels › Website Messenger, the split of new messages into “from verified guests” and “from unverified users” is added.

  • If the module is licensed, access to it is enabled for specific users through their role. The “Requests” box needs its own access in the role. Roles are managed by ReGuest support.

Frequently asked questions

Why is the “Requests” box missing? It only appears if the user's role includes access to it and the hotel is set up accordingly. Roles are managed by ReGuest support. ReGuest support can tell you whether this is set up for the hotel.

Why is the “Bulk Processing” box missing? ReGuest support can tell you whether the “Bulk Processing” box is set up for the hotel.

Why don't the numbers change? The counters are only calculated when the dashboard is opened and via “Reload”.

Why does an employee see fewer new messages than a colleague? Depending on the access in their role, “new messages” in the “Messenger” box counts only the messages assigned to them and their team. Roles are managed by ReGuest support.

Why is the “Top … open proposals” list missing? It only appears once there are at least three negotiated proposals with a future arrival.
