In the dashboard, you can assign a task, such as a request or a message in a conversation, to one or more users and to a team. The assignment is found under the menu item Dashboard: in the “Tasks” column to the left of the task list and in the “Assign” field of an opened task.
Example: Assign a new request to a colleague
Open the “Dashboard” menu item. To the left of the task list is the “Tasks” column.
In the “Tasks” column, click “Not assigned”. The task list now shows only tasks that are not yet assigned to anyone. The column shows the “Not assigned” entry only if the user's role includes access to it.
Open the task for the request in the list.
Click the “Assign” field. The selection shows two groups, “Teams” and “Accounts”.
In the “Filter by name...” field, enter the colleague's name and select her in the “Accounts” group.
If you also want to give the task to a team, select a team in the “Teams” group.
Close the selection. Shortly afterwards, the assignment is saved.
The “Assign” field now shows the colleague's picture and, where applicable, the team's icon. Your own name appears under “Creator of the assignment”. In the “Tasks” column, the colleague's entry under “Accounts” counts one more open task.
The pages in detail
“Dashboard”, “Tasks” column
The column shows how many open tasks each person or team has, and filters the task list when you click an entry.
“My tasks” is always there and shows the tasks that are assigned to your own user.
“Not assigned” shows the tasks without an assignment, “All” shows all tasks.
“Teams” lists the teams with their open tasks. Without a separate access right in the role, only the teams the user is a member of are listed here; with this access, all teams are listed here.
“Accounts” lists other users with their open tasks. Anyone who is online at the moment has a tick with the note “online”.
The number next to an entry counts open tasks, that is, tasks not yet done, both read and unread. A task with several users counts for each of them. The number updates in these cases: when the dashboard is opened, when a task is newly created or changes, after a task is marked as done or reopened, and after a change to the assignment.
You can collapse the column with an arrow in it. It stays collapsed in this browser until someone opens it again with the arrow in front of the search.
“Dashboard”, task list
The task list shows the tasks of the entry that is selected in the “Tasks” column. The search field “Notifications/tasks” searches the list. If a task changes that is not in the list at the moment, the list reloads. If a user or a team is selected in the “Tasks” column, it reloads only if the task belongs to this user or team. If you have already scrolled further down in the list, an icon with the note “Reload” appears instead, which reloads the list when clicked.
“Task”, the opened task
The opened task contains the “Assign” field. A click opens a selection with the groups “Teams” and “Accounts” and the search field “Filter by name...”. You can select several users at the same time, but only one team: a second team replaces the first. Available for selection are the users for whom “Tasks can be assigned to the user” is set in the user settings. Saving happens shortly after the selection is closed. The field shows each selected entry, a team with its icon and a user with their picture. If all users and the team are removed, the assignment disappears completely.
“Creator of the assignment” shows who assigned the task. If a rule assigned it, it says “Automatically assigned by rule”. The rules for this are maintained under Settings › Collaboration. They assign a new task, depending on its type, to a team and to at most one user.
“Task status” shows whether the task is “open” or “done”. “Mark as done” completes it, “Change back to open” reopens it. If the task is assigned to someone, the assignment is also marked as done or reopened.
Prerequisites
‘Assignment to staff’ does not need a licence module of its own. With CRIS Chatbot, the AI user is added to the “Tasks” column.
Access to ‘Assignment to staff’ is enabled for specific users through their role. The following each need their own access in the role: the “Assign” field and “Not assigned”, “All”, “Accounts” and all teams in the “Tasks” column. Roles are managed by ReGuest support.
Frequently asked questions
Why can't the “Assign” field be used? The field can only be used if the user's role includes access to it. Roles are managed by ReGuest support.
Why is a colleague missing from the selection? In her user settings, “Tasks can be assigned to the user” is not set, or her user is deactivated.
Why is the “Assign” field missing in a task? Not every type of task can be assigned by hand. Such a task shows the field only if it already has an assignment, and then read-only. A data-protection deletion request, for example, gets its assignment automatically.
Why is the number in the column larger than the list? The number counts all open tasks. The list shows only what matches the set period, status, property and search term.
Why does a task have a team but no user? The rule for this type of task does not assign a user. Or it assigns only to a user who is online at the moment, and that user was not online when the task was created. The rules for this are maintained under Settings › Collaboration.
Why can't a second team be selected? A task has at most one team. A second team replaces the first.
Why is there no “Tasks” column at all? Assignment is not set up for every hotel. ReGuest support can tell you whether it is set up for the hotel.
